Description
Program Coordinator
South Royalton Legal Clinic (SRLC)
Position Summary:
This position provides support to 3 to 5 attorneys and approximately 12 to 18 students enrolled in the Legal Clinic. The Program Coordinator plays an important role in ensuring the smooth operation of the South Royalton Legal Clinic. The Program Coordinator helps coordinate the Clinic’s functioning as both an active law firm and teaching arm of the law school.
Essential Functions and Principal Accountabilities:
Administrative Support
- Answer phones and determine if callers meet general criteria for services (type of legal matter and county of residence). If not eligible, provide referrals to other appropriate legal resources. If current client or consult, direct to appropriate staff attorney or student clinician.
- Complete screening form for all eligible callers and those with other legal problems as needed. Enter caller information into case management software.
- Perform conflict checks.
- Assist in maintaining clinic client files, including physical and electronic files, from file opening to file closing. Scanning and destruction of files as needed.
- Enter messages and notes into client management software and create/assign tasks where appropriate.
- Draft routine correspondence for staff attorneys as needed.
- Manage office supplies including inventorying and ordering as needed.
- Pick up, sort, and distribute U.S. and campus mail.
- Other tasks as assigned by supervisor.
Litigation Support
- Actively monitor Vermont Judiciary electronic docketing system for all current matters.
- Calendar all court hearings for all current matters (and other hearings if appropriate).
- Maintain shared court hearing calendar.
- Distribute all hearing notices to clients.
- Serve as liaison with court clerks for screening of new cases under the Children First! grant.
- Upload all court documents filed by all parties or entered on docket to date into appropriate client file in OneDrive.
- Draft and/or e-file notices, pleadings, and applications with appropriate court as requested by staff attorney.
- Serve all notices, pleadings, and applications on appropriate party as requested by staff attorney.
- Obtain documents and other evidence from clients as requested by attorneys.
- Draft and/or serve subpoenas, or arrange for service of same.
- Interact with court staff to update staff attorneys on court protocols as necessary.
- Other tasks as assigned by supervisor.
Student Support
- Provide support to student clinicians as needed.
- Assist student clinicians with office protocol.
- Other tasks as assigned by supervisor.
Requirements
Required Education, Skills, and Experience:
- Associate’s degree or the equivalent combination of education and experience. Bachelor’s and/or paralegal degree or equivalent of experience preferred.
- Three to four years of relevant legal secretarial and administrative experience, a combination of education and experience from which comparable knowledge and skills are acquired.
- Basic knowledge of legal field and familiarity with law office procedures and protocol.
- Strong administrative and organizational skills.
- Experience in maintaining filing systems.
- Proficiency with Microsoft Office Suite and equivalent cloud-based client management tools.
- Excellent communication skills to interact in a sensitive, respectful manner with clients and consults. Ability deal professionally with courts, students, faculty and others.
Other Requirements:
- Mostly computer-related work.
- Primary work is done sitting and/or standing at a desk and required repetitive motion (typing on keyboard, using mouse, etc).
- Ability to prioritize multiple tasks and deadlines and reorganize under pressure.
- Ability to work independently and within a team.
- Ability to manage the pressure of multiple deadlines.
- Must be able to work legally within the United States without sponsorship.
- Vermont Notary Public accreditation or willingness to obtain.
- Physical ability to perform all essential functions of the job with or without basic accommodations.
- Willingness and ability to follow any current or future health and safety policies or protocols laid out by the school.
