Summary:
The Program Support Specialist-Enrollment and Engagement provides ongoing support and assistance to prospective and enrolled families in our Early Education Centers including assisting families in achieving family identified goals, program registration, and navigating any additional resources needed to support youth success. The position will work in coordination with the Center Director(s) to help monitor waitlists, new and renewing enrollments, classroom transitions, and outreach to referral organization.

Hiring Range for this role is $24.20 – $30.25/hour.
Responsibilities
- Manages inquiries from prospective families about the program including answering phone calls, replying to emails, responding to webform requests, and providing on-site tours.
- Partners with Center Director to ensure support for families in the new enrollment process including navigating enrollment options, subsidy, third party payors or financial assistance (if applicable) and schedule requests.
- Inputs data for new, renewing and terminating participants into the program management software. Ensures registration information is complete, accurate, and entered in a timely manner.
- Implement organization policies, procedures and work plans for recruitment, application, enrollment, placement, and orientation of youth and families to Y Early Education Center programs.
- Identify translation support, verbal and written as needed on forms, Family Guide, etc.
- Establish and maintain working relationships with community agencies for referrals and resources for potential children and their families.
- Act as a contact person for on-going support and assistance for parents/families, including referrals for additional services, enrollment questions, and connection to other Y programs and services.
- Develops and deliver communication to families related to new enrollments, key milestone and classroom transitions, and other family correspondence as requested.
- Accurately maintain waitlist database with record of family communication, referrals, and follow-ups,
- Help support Kindergarten registration to ensure each child is registered for public school.
- Remind/encourage participation in the Family Engagement Groups (FIG), and other engagement opportunities.
- Coordinate with Registration Resource Manager, Center Directors and Subsidy Coordinator ensure alignment of systems and processes.

WORK ENVIRONMENT
This job operates in a professional office environment as well as onsite at Early Education Centers. This role routinely uses standard office equipment.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
POSITION TYPE/EXPECTED HOURS OF WORK
This is a full-time position, and hours of work and days are Monday through Friday, 8:30 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.
TRAVEL
Travel is primarily local during the business day.
Qualifications
- AA degree or equivalent post-secondary education or equivalent experience. Other applicable education, training, and experience, which provide the knowledge, abilities, and skills necessary to perform effectively in the position will be considered.
- One or more years of related experience.
- Experience and comfort with Office Suite.
- Demonstrated experience in providing high-quality, detailed-oriented work in a fast-paced, dynamic work environment.
- Superior customer service with strong written and verbal communication skills.
- Ability to travel to program sites and branches.
PREFERRED QUALIFICATIONS:
- Experience managing or working in Early Education and Childcare programs, prior Registrar/Registration experience.
- Prefer knowledge of and previous experience with diverse populations.
- Previous experience configuring ACTIVE Networks or PlayerSpace
- Ability to speak any language in addition to English may be helpful.
