Picture yourself here: When you join PPGNY as the Administrative Coordinator you will provide multi-faceted administrative and operational support to the External Affairs Department including the work of PPGNY Action Fund, PPGNY Votes PAC, and PPGNY Votes Political Committee, and also provide operational and administrative support to the Legal & Compliance Department.

Additional responsibilities include:

    • Develop and monitor annual program budgets for External Affairs, PPGNY Action Fund, and PPGNY Votes PAC
    • Support compliance with legal and regulatory reporting requirements for External Affairs, PPGNY Action Fund, PPGNY Votes PAC, and PPGNY Votes Political Committee, and other related entities.
    • Manage and maintain data systems including but not limited to VAN, Every Action, Salesforce, and Hustle and provide account maintenance, training to staff, and troubleshooting.
    • Support staff as needed to manage board and committee relations. Schedule meetings and calls as needed. Prepare reports and develop materials for meetings and in response to requests from board members.
    • Coordinate meetings for interdepartmental collaborations and external projects and initiatives
    • Provide operational support for insurance documentation and insurance management
    • Provide contract management support, and provide support for workflow management, and software and portal navigation
    • Provide policy review support for organizational policy review process including meeting and database management
    • Provide global administrative support, including calendar management and meeting scheduling

You have:

    • Experience with VAN, Every Action, Salesforce (or comparable CRM platforms)
    • Bachelor’s Degree or equivalent experience
    • Two to three years minimum of applicable experience in administrative roles or other relevant roles and/or fields

    • Experience with board management and board relations or high-level external stakeholders.

Compensation:

    • $62,000-$68,000

Proof of immunization or immunity to certain communicable diseases (including influenza during the flu season and Covid-19) and testing for tuberculosis. These certifications are required by the NYC DOHMH Health Code, NYSDOH and OSHA.
