Position Description:

The Project Coordinator is an integral member of the project management team responsible for helping deliver photovoltaic & solar thermal projects of varying size and complexity. The purpose of this position is to provide administrative support to the Project Management Team. This position is temporarily remote and may require to work at our Berkeley office in the future.

Responsibilities:

  • Help find and qualify Subcontractors. Assist the PM in drafting, issuing and managing RFP’s and proposals for subcontracted scopes of work.
  • Assist PM’s in the review of Subcontractor quotations to ensure that only fair and reasonable pricing is recommended for approval.
  • Issue Subcontracts, Letters of Intent, Notices to Proceed and Purchase Orders in collaboration with the PM.
  • Manage Subcontracts and work with subs to ensure contract compliance, labor compliance and accounting documentation is in place, including reviewing subcontractor invoices.
  • Help to coordinate logistics and scheduling for subcontractors’ mobilizations’ in collaboration with Superintendents.
  • Submit plans and design packages to City and County Building Departments to obtain building permits.
  • Understand the requirements of local jurisdictions and discern the optimal order of operations to obtain all necessary approvals including, Plumbing, Electrical, Fire, Building, Planning, Zoning, etc. in the most efficient way.
  • Track outstanding permits and update notes in Salesforce. Follow up with Plan Checkers and Building Officials to check on the status of outstanding permits
  • Negotiate with Plan Checkers and Building Officials, Especially Fire Authorities, to obtain approvals and variances for solar designs when necessary. Build relationships with local officials over time.
  • Use project scheduling and control tools to monitor project plans, work hours, budgets and expenditures and complete subcontractor pricing matrices.
  • Assist the PM in building preliminary schedules and allocating budget values to specific tasks.
  • Large Project Support, i.e. working directly with PM’s on larger projects in an overall support role, assisting with budget control, schedule, planning, and client communication.
  • Attend client meetings and assists with determination of project requirements: attend project team meetings and distribute meetings minutes to members as needed.
  • Effectively and accurately communicate relevant project information to the client and projects team. Keep the PM and others informed about project status and issues that may impact client relations.
  • Create and update change orders including budgets and client facing documents; provide reporting and follow up on outstanding change orders.
  • Set-up project (e.g. assign project job #, set up in SF, MSP and Sage, including billing and budget set-up).
  • Manage project insurance (e.g. secure insurance for project and renew project insurance annually)
  • Provide back up coverage for updating Short Interval Schedule and management as needed.
  • Provide backup coverage for gathering close-out information from Field personnel and provide administrative support for the close-out process including assembling and distributing operations manuals, warranty cards and other documents
  • Communicate ideas for improving company processes with a positive and constructive attitude.

Required skills:

  • 1-2 years of relevant work experience highly preferred.
  • Experience in the construction industry highly preferred, solar industry is a plus.
  • Knowledge of AHJ
  • Excellent communications skills – verbal, written, and listening skills.
  • Ability to handle multiple projects and support multiple employees’ administrative needs with attention to detail and minimal supervision is essential
  • Problem solving skills.
  • Strong time management and organizational skills.
  • Proficient with MS Excel, Word, and construction-specific accounting software, Adobe Creative Suite & Microsoft Project
  • Ability to evaluate and then master new software.
  • Strong attention to detail and consistent follow-up.
  • Strong listening, negotiating and people skills, as well as verbal and written communication skills.
  • Flexible personality and desire to work as part of a team.
  • Valid driver’s license
  • College Degree preferred.
  • CA driving license and driving your own vehicle are a must

Work Environment & Physical Requirements:

While performing the duties of this job, the employee is occasionally expose to moving mechanical parts and vehicles. The noise level in the work environment is usually quiet to moderate. Salary is based upon experience, professional licensing, and education. SLP provides a comprehensive benefits package including medical, dental, 401(k), PTO, holidays and tuition reimbursement.
