Job Summary/Basic Function:
Responsible for monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.
Department Overview:
The Idaho Small Business Development Center (SBDC) empowers small business success by providing no-cost, confidential consulting and low-cost training to entrepreneurs throughout Idaho. The Idaho APEX Accelerator (that works with the Idaho SBDC) helps Idaho businesses tap into the federal/state marketplace. The Idaho Apex Accelerator tracks local, state, and federal bid opportunities, and matches them with Idaho businesses depending on their product and service profile. Level Scope:
Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision-making. This level is typically focused on self-development. Requires theoretical knowledge through specific education and training.
Essential Functions:
60% of Time the Project Coordinator, Associate must:

  • Maintain and monitor project plans, project schedules, work hours, budgets, and expenditures.
  • Organize, attend, and participate in stakeholder meetings.
  • Document and follow up on important actions and decisions from meetings.
  • Prepare necessary presentation materials for meetings.
  • Ensure project deadlines are met.
  • Determine project changes.
  • Provide administrative support as needed.
  • Undertake project tasks as required.
  • Develop project strategies.
  • Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Assess project risks and issues and provide solutions where applicable.
  • Ensure stakeholder views are managed towards the best solution.
  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members.
  • Create a project management calendar for fulfilling each goal and objective.

35% of Time the Project Coordinator, Associate must:

Client Consulting & Engagement:

  • Identify government contracting and other business needs
  • Client codes and Understanding for set-asides (NAICS or product codes)
  • Proactively engage clients to create jobs and successful contracting
  • Work collectively with SBDC and other partner resources in Idaho

Solutions – Works with clients to develop:

  • SAM’s registration
  • UEI registration
  • Set Aside Applications

Solutions – Work with APEX Director and team to develop:

  • Posting and tracking of Idaho Awards
  • Daily Bid Match renewals and processing
  • Client Application and Processing
  • Social Media and Website posting
  • Create fliers for APEX events when requested
  • Post and track P-card expenditures
  • Submit Travel expenses for APEX team
  • Create, disperse and collect event surveys and success stories

5% of Time the Project Coordinator, Associate must:

  • Perform other duties as assigned

Knowledge, Skills, Abilities:

  • Ability to work on tight deadlines
  • Knowledge of Microsoft Office applications such as Word and Excel
  • Exceptional verbal, written, and presentation skills
  • Knowledge of file management, transcription, and other administrative procedures

Minimum Qualifications:
Bachelor’s Degree or equivalent relevant professional experience.
Salary and Benefits:
