Job Description
The Project Coordinator (Moves) position is an outsourced role, serving one RRD GO Creative’s financial firm clients. This opportunity involves advising our financial client on projects involving office relocations, refurbishments, and decommissioning, while also offering expertise in records management and coordinating services with the preferred vendor. You will be expected to coordinate projects including scheduling, estimating, obtaining job detail information, job tracking, invoicing and must be proactive, quick thinking, a problem solver and ultra-organized, ensuring account satisfaction and service excellence. This includes resolving and escalating issues and barriers.
Responsibilities:
- Establish and promote excellent customer relations through effective and proactive communications to update clients and other stakeholders on project status.
- Work closely with the Lead Project Manager and keep them updated on daily progress on Moves.
- Enter and track a high volume of data related work components and updates to client project tracking system.
- Ensure proper priority is given to each job to meet client expectations.
- Attend and set relevant client meetings, production and project management status calls bringing in appropriate resources as needed.
- Provide guidance to clients on managing firm records, with a goal of reducing physical storage: i.e. – make recommendations on on-site storage, physical archival, electronic archival and destruction of records.
- Provide support on coordinating vendor services.
- Act as a liaison between the client and the Global Service Desk, ensuring that required services are processed timely and accurately.
- Maintain contact with clients and production to set project milestones, create project estimates, tracks schedules, advise of job progress, scheduling concerns, and any requests for additional information or materials, when required.
- Follow up with the business unit on the progress of their records review and cleanout during move project calls and directly, as needed. Continue to offer guidance and support.
- Work with team members to maintain an ongoing matrix of Move Move Matrix with Information needed to evaluate business requirements.
- Track and report on quality metrics, strategize with the client and deliver services, which will attract and retain customer loyalty.
- Trains other employees as needed.
- Perform other related duties and participate in special projects as assigned.
Required Skills
- Able to demonstrates ability to solve complex problems by analyzing variables and applying appropriate solutions learned through experience and proficiency in understanding the job.
- Must be able to recognize anomalies and critical situations and respond appropriately.
- Must be able to communicate and interact with a variety of internal/external customers and/or co-workers at level of detail required to resolve issues of moderate complexity.
- Knowledge of administrative software, including Microsoft Office (Excel, Word, PowerPoint) and Access
- Excellent Mac computer skills; ability to learn new programs, and ability to provide basic troubleshooting.
- May require knowledge of or ability to quickly learn specialized software to complete work assignments.
- Complete understanding of the “Big Picture” which allows the individual to problem-solve, analyze potential solutions and use sound judgment to make good business decisions.
- Able to demonstrate continued expertise in the primary tools or applications used in completing daily work assignments.
- Requires very good communication skills with ability to state messages in a clear manner by using language that is easy for others to understand.
- Must be able to proactively listen to others to understand issues and situations. Must be able to clearly articulate business needs to both internal and external customers.
- Ability to anticipate needs on behalf of the client, not only to serve the client but also increase volume and profitability.
- Ability to support multiple projects at one time in a dynamic environment preferred
- Superior presentation skills preferred
Required Experience
- Bachelor degree in discipline related to functional work or role with 3-5 years of relevant work experience OR demonstrated ability to meet the job requirements through a comparable number of years of applicable work experience
- Proven track record with strong and effective client relationships and solution delivery preferred
- Experience in utilizing continuous improvement tools to create and track metrics preferred

The national pay range for this role is $60,900 – $99,200 / year. The pay range may be slightly lower or higher based on the geographic location of the hired employee. The actual pay offered may vary based upon, but not limited to: education, skills, experience, proficiency, performance, shift and location. In addition to base salary, depending on the role, the total compensation package may also include participation in a bonus, commission or incentive program.
