The Irsay Institute and the Social Science Research Commons (SSRC) are seeking to hire an experienced Project Coordinator who will take on a portfolio of Institute and project support in a collaborative academic environment. The recently launched Irsay Institute is an interdisciplinary sociomedical sciences research institute dedicated to supporting faculty research. One goal of the Irsay Institute is to bring together university and statewide expertise around mental health and stigma issues and to look for ways to create sustainable change through networking with others and developing policy recommendations. The SSRC facilitates social science research on the Bloomington campus by providing research infrastructure, support, and training to social science faculty and graduate students.
Job Summary
The Project Coordinator will handle some routine Irsay and SSRC business functions and be assigned on a rotating basis to specific research teams to coordinate study activities such as scheduling research team meetings and study appointments, maintaining study notes and correspondence, and coordinating transcription services. There may be some occasional need for providing guidance, training, and day-to-day support to junior-level staff and students who work under the formal supervision of faculty.
Department-Specific Responsibilities
- Provides procurement services for Irsay and SSRC business operations and research activities.
- Serves as liaison between Irsay/SSRC and IU Procurement Services and suppliers.
- Coordinates project timelines, schedules team meetings, and keeps meeting minute notes and action items.
- Event plans and coordinates for more complicated events and academic meetings.
- Handles travel arrangements for faculty, staff, and visitors.
- Prepares and processes reimbursements in Chrome River and p-card reconciliations for multiple units.
- Organizes and documents business and team policy and procedures.
- Communicates with IU faculty, staff, and administration at all levels and communication with executive-level professionals from outside IU.
- May perform reception-level duties as needed.
General Responsibilities
- Provides experienced assistance with project management activities, resource allocation, and communication.
- Develops a schedule designed to meet necessary deadlines and communicates with team members.
- Monitors project progress and handles highly complex issues that arise.
- Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project.
- Allocates tasks and assignments to lower-level appointed staff and monitors their performance.
- Performs a variety of administrative skills and prepares correspondence related to the project.

EDUCATION
Required
- High school diploma or GED
WORK EXPERIENCE

- 4 years of relevant experience

- Experience working with hourly or temporary workers, such as students

- Experience making, keeping, and sharing project timelines and deliverable charts to keep teams up to date with projects
- Solid understanding of university research and academic processes.
- Some experience in running complex 50+ person meetings
- Familiarity with federally sponsored research, social science, or survey research experience or familiarity with research standards and rules
Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
