Job Summary:

The Project Manager for the Southeast Asian Language Council (SEALC) is a 50% position at the University of Wisconsin-Madison. The project manager has primary responsibility for day-to-day administration of SEALC programs and management of the funded project, Professional and Materials Development to Strengthen Southeast Asian Language Instruction. This project is a five-year, extramurally-funded effort to professionalize the field of SE Asian language teaching in the United States by offering training workshops to expand the expertise of language teachers and by supporting opportunities to create national standards, assessment tools, and instructional resources for Southeast Asian language programs. The SEALC Project Manager is a fixed term, terminal position that will extend to August 14, 2024.

The project manager is responsible for the daily operation of the SEALC office including:
1. Managing SEALC administrative tasks.
a. Create the agenda for all SEALC meetings, attend, take minutes, and write up the minutes of all SEALC meetings (distribute agenda and minutes). Share files using Box storage platform.
b. Website Development and Maintenance: Maintain and expand a WordPress website for SEALC announcements, reports on current project activities, and deliverables.
c. Create and send a MailChimp newsletter to instructor mailing list with SEALC announcements, opportunities for SEA language instructors, etc. once a month/as needed.
d. Assist SEALC PI in writing annual reports to stakeholders and Luce Foundation. Draft agenda, attend, take minutes, and write up minutes of annual stakeholder meeting.
2. Planning and executing the grant events and initiatives including professional development workshops, project awards, tuition awards, while working with the grant Principal Investigator, SEALC staff, and SEALC committee members.
a. Advertise the workshops and other initiatives, manage participant selection, create and distribute Qualtrics pre- and post-workshop surveys, and tabulate and summarize survey results.
b. Work closely with the workshop organizer and local staff managers.
c. Following each workshop, communicate with the SEALC Pedagogy coordinator, mentors, and participants to insure the timely collection of deliverables. Assist financial specialist in processing of honoraria for workshops/projects and invoices for workshop expenses.
d. Write a summary report of each workshop including survey results, attendance, and deliverables.
3. Project Communication
a. Maintain good communication with project staff at UW, SEALC members, stakeholders, workshop hosts, presenters, and participants.
b. Maintain lists of language group organizations, leadership, and membership & lists of Southeast Asian language programs.
c. Maintain communication and coordination with Council of Teachers of Southeast Asian Languages (COTSEAL), Graduate Education and Training in Southeast Asian Studies (GETSEA), National Resource Centers (NRCs), and Southeast Asian Summer Studies Institute (SEASSI) leadership and activities.
4. Other Duties as needed.

Responsibilities:

Manages a single project from start to finish or one phase of a large project under limited supervision.

  • 20% Creates a project plan, monitors progress and performance against the project plan, and identifies, resolves, or escalates risks and issues
  • 20% Manages the activities of outside contractors to ensure they are integrated into the project and that the organization receives satisfactory standards of service
  • 20% Facilitates the estimation of project costs, resources, and time required to complete the assigned phase of a project and monitors activities, negotiates for resources, and assigns tasks to ensure these targets are met. Follows established change control processes if targets can no longer be met
  • 10% Prepares regular reports to communicate the status of the project within and beyond the project team
  • 30% Sets priorities, allocates tasks, and collaborates with project staff to meet project targets and milestones

Qualifications:

Minimum of one-year administrative office and/or project management experience, preferably in an academic institution.
Excellent oral and writing skills are required. Strong time management skills and attention to detail required.
A range of computer skills is required, including Qualtrics, Word, Excel, Zoom, WordPress website development and maintenance, Box or other collaborative file sharing services, MailChimp campaign experience, and familiarity with social media platforms. Experience facilitating hybrid format workshops or trainings preferred.
This position requires the ability to work both independently and in a team.
Preference will be given to candidates with academic and/or work experience in Southeast Asia.

Work Type:

Part Time: 50%

It is anticipated this position will be remote and requires work be performed at an offsite, non-campus work location.

Appointment Type, Duration:

Terminal, 15 month appointment.
This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding

Salary:

Minimum $58,000 ANNUAL (12 months)
Depending on Qualifications
