CONDITIONS OF EMPLOYMENT:

  1. New employees of the Department of Military Affairs will be required to pass a pre-employment drug screening.
  2. New employees of the Department of Military Affairs are required to participate in a direct deposit/electronic transfer program.
  3. The Department of Military Affairs is paid on a monthly basis.

MINIMUM REQUIREMENTS:

  • An Associate’s Degree from an accredited college or university with major coursework in Business, Accounting, Finance, or related field AND One (1) year of professional experience in Purchasing, Accounting, Finance, or related field; OR
  • A High School Diploma AND Three (3) years of professional experience in Purchasing, Accounting, Finance, or related field

DUTIES AND RESPONSIBILITIES:

  • Responsible for initiating Purchase Requests in My Florida Market Place for assigned accounts.
  • This process will include soliciting price quotes, preparing the request, compliance with statute/administrative code, and conferring with departments to determine unusual commodity needs in terms of quality, quantity, and type of equipment.
  • Responsible for the review and approval of Purchase Orders initiated in My Florida Market Place for assigned accounts.
  • The review will consist of proper coding, proper authorization for the commodity/service, compliance with statute/administrative code and conferring with departments to determine unusual commodity needs in terms of quality, quantity, and type of equipment.
  • Ensure items requested are received in MFMP and paperwork forwarded to the finance office for timely payment.
  • Responsible for soliciting commodities/services utilizing the State of Florida Purchasing Card system for assigned accounts.
  • This includes conferring with departments to determine unusual commodity needs in terms of quality, quantity, and type of equipment, vendor selection, and coordination of purchase, method of delivery and invoice reconciliation and submission for payment. Ensure Credit card receipts are sent to accounting within the ten days of time of charge.
  • Provides administrative support as the DMA Fleet Management Coordinator ensuring that all assigned vehicles are serviced and maintained, all maintenance is documented, proper dispatching is conducted, special reports and surveys are completed per State requirements. Maintaining log sheets from vehicles logbooks. Performs quarterly vehicle inspections on all state vehicles throughout agency locations to include Camp Blanding, Saint Augustine, and Jacksonville. Maintains records in the state FIMS (Fleet Information Management System)
  • Maintain and manage the DMA cell phone accounts. Review and pay monthly billing statement for General Revenue cell phones. Process payments for all Cooperative Agreement (CA) cell phones. Review billing discrepancies. Contact CA Program managers to reviews and correct billing issues before they are finalized and processed.
  • Responsible for ordering office supplies for SQM, State Programs, Annex (G1 DCSPER), Checchi House, Command, Air Guard, Cag/DES, and State Supportive Programs.
  • Prepare correspondence pertaining to procurement issues.
  • Process invoices for recurring accounts and maintain spreadsheets keeping accounts current.
  • Support State Active-Duty missions when necessary.
  • Perform additional duties as assigned.
