Pay Range

$71,370 – $92,424 Annually for the A07.1 level

$84,960 – $110,040 Annually for the A07.2 level

Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education, experience, the external labor market, and internal equity.

Job Description

We’re looking for a Document Operations Specialist to support Records Management in the Document Management Center (DMC). You will support the Superblock nuclear complex, the High Explosives Application Facility (HEAF), and Site 300 facilities. You will manage facility documents and records following all LLNL, Deparment of Energy (DOE) and Environment Safety and Health (ES&H) requirements. You may also serve as additional support in areas of document control and procedure editing. You will work in the Weapons and Complex Integration (WCI) Directorate.

You will be placed at either level based on knowledge and related experience as assessed by the hiring team. Additional job responsibilities (outlined below) will be assigned if selected at the higher level.

In this role you will

  • Work across departments, facilitate the collection and management of facility records including accountability, cataloging, processing, inventory, retrieval, and distribution of documents.
  • Ensure data input accuracy and format compliance of records documentation using multiple web-based applications, including auditing legacy metadata entry against physical records.
  • Perform search and retrieval activities of electronically managed information, using database applications and physical document searches in local record storage areas, to locate archival records to support facility management, engineers, administrators, operators, and mechanical technicians.
  • Archive facility documents and drawings using production and large format scanners, moving data from multiple media to LLNL databases, and prepare records collections for long-term storage in the Laboratory Records Center.
  • Electronically track and authenticate hardcopy-controlled documents, including assignments to document custodians, ownership transfers, returns, change packages, destruction and reissues, and issuance.
  • Participate in records inventory audits and support audits and assessments of other groups, including readiness assessments and inspections.
  • Manage requests to process documents through the LLNL Information Management system for wider release and apply proper marking to electronic documents.
  • Maintain access and training for secure / restricted areas of assigned facilities.
  • Support plans to promote diversity, equity, and inclusion within the program.
  • Other tasks as assigned.

Additional responsibilities at the A07.2 Level

  • Monitor records management activities for compliance with requirements, including retention schedules and disposition, and provide input for metrics on records management activities as requested by management.
  • Work with, and serve as a resource for, external customers regarding document control practices, records management, and configuration management, including onboarding/offboarding, user training, and education on requirements.
  • Implement actions for improvement in areas of efficiency, workflow documentation, and customer service, and participate with Technical Subject Matter Experts (SMEs) in developing improvements for records database applications.

Qualifications

  • Ability to obtain and maintain a U.S. DOE Q-level security clearance which requires U.S. Citizenship.
  • Experience in document management, controlled document distribution, and record keeping systems.
  • Experience working with personnel at multiple levels of an organization and communicating technical information to users.
  • Experience applying discretion and problem-solving skills to identify solutions and resolve issues.
  • Experience working as part of a versatile team in a technical support environment, collaborating with others, and recommending process improvements.
  • Effective customer service, communication, and interpersonal skills necessary to respond to customer needs, requests, and issues, and to maintain working relationships.
  • Experience formatting documents using templates, applying intermediate software skills, and employing accurate keyboarding, editing, grammar, and proofreading skills.
  • Demonstrated ability/commitment to valuing diversity, equity, and inclusion principles in the workplace.
  • Familiarity with learning new software applications.

Additional qualifications at the A07.2 level

  • Comprehensive knowledge of document control and records management practices and requirements for government agencies, engineering, construction, or a related field.
  • History of independently interpreting and applying instructions and procedures to include advanced organization and attention to detail; experience coordinating multiple work activities; experience implementing process improvements.

Qualifications We Desire

  • Associate degree in Business or Technology area, or equivalent combination of education and related experience.
  • Knowledge of LLNL documents and records management policies and procedures, and of business processes and operations at Site 300, HEAF, and Superblock.
  • Knowledge of Windchill and Enterprise Lifecycle Management (ELM), FileMaker Pro, and SharePoint.
  • Experience with technical writing or editing, especially preparation of technical procedures.
  • Qualification or certification for technical writing, such as Procedure Writer certification by the Procedure Professionals Association (PPA).
