DELEGATION OF AUTHORITY:
As a Receptionist/ Admin Assistant, you are delegated the administrative authority, responsibilities and accountability necessary for carrying out your assigned duties.
CONFIDENTIALITY:

JOB FUNCTION:

ESSENTIAL DUTIES & RESPONSIBILITIES:
Supports the administrative needs of the Front Reception Desk.
Creates documents using Microsoft Office Suite – Word, Excel, PowerPoint, etc.
Creates, prepares and mails letters, notices, bulletins, bulk mailings, fundraising materials, etc. for various departments
Prints resident directory bi-weekly for the Front Desk as needed.
Assists with postage and postage log.
Greets on-site visitors, determines nature of business and announces visitors to appropriate area or person.
Monitors and logs visitor access.
Manages Front Desk telephone console by answering incoming calls, determining purpose of calls and forwarding/transferring calls to appropriate person/department, and providing information when applicable.
Assists with sorting and delivering mail.
Provides support to residents by helping them resolve problems, directing them to the appropriate person/department, etc.
Winds clocks in the Parlor and Library weekly as needed.
Provides Sunday Receptionist back-up coverage as needed as needed.
Drives golf cart to deliver meals to Independent Living residents on campus (up to two times per day).
Performs other duties as assigned.
SAFETY & INFECTION CONTROL:
Reports equipment malfunctions to appropriate staff and complete work orders when indicated.
Identifies and remove safety hazards/devices and report to appropriate staff.
Utilizes standard precautions by wearing personal protective equipment (goggles, gowns, gloves) when indicated.
Follows Fahrney-Keedy’s fire and safety policies.
Responsible for safety of residents in coordination with other staff members.
Assists the Safety Officer in developing safety standards for the activity department.
Monitors department staff to assure that they are following established safety regulations in the use of equipment and supplies.
Ensures department work areas are maintained in a clean, sanitary and safe manner.
Ensures that department staff follow established departmental policies and procedures, including appropriate dress code.
Ensures that department staff participate in and conduct all fire safety and disaster preparedness drills in a safe and professional manner.
Ensures that department staff follow established infection control procedures when isolation precautions become necessary.
Follows proper hand washing technique.
WORKING ENVIRONMENT:

- Works in office areas as well as throughout the campus.

RESIDENT RIGHTS:
- Maintain the confidentiality of all resident care information including protected health information. Report known or suspected incidents of unauthorized disclosure of such information.
- Ensure that you treat all residents fairly with kindness, dignity, and respect.
- Ensure that all nursing care is provided in privacy.
- Knock and wait for permission to enter all residents’ rooms.
- Report all grievances and complaints made by the residents to the Nursing Supervisor or Charge Nurse.
- Report all allegations of resident abuse and/or misappropriation of resident property to the Fahrney-Keedy Abuse Coordinator.
- Honor the resident’s refusal of treatment request. Report such requests to your Supervisor.
SPECIFIC REQUIREMENTS:
- Must be able to read, write, speak and understand the English language.
- Must be a supportive team member, contribute to and be an example of teamwork and team concept.
- Must possess the ability to make independent decisions when circumstances warrant such action.
- Must possess the ability to deal tactfully with staff, residents, family members, visitors, government agencies/personnel, and the general public.
- Must possess the ability and willingness to work harmoniously with other staff.
- Must have patience, tact, a cheerful disposition and enthusiasm, as well as the willingness to handle difficult residents.
- Must be proficient in Microsoft Office Suite (Word, Excel and PowerPoint).
- Must be knowledgeable in the use of computers, data input/retrieval/output functions, etc.
- Must be willing to seek out new methods and principles and be willing to incorporate them into existing nursing practices.
- Must be able to relate information concerning a resident’s condition.
- Must not pose a direct threat to the health and safety of other individuals in the workplace.
EDUCATION:
- High school diploma or General Education Degree (GED); 1 to 3 months’ related experience and/or training or equivalent combination of education and experience.
PHYSICAL & SENSORY REQUIREMENTS (With or Without the Aid of Mechanical Devices):
- Must be able to move intermittently throughout the workday.
- Must be able to speak and write the English language in an understandable manner.
- Must be able to cope with the mental and emotional stress of the position.
- Must be able to see and hear or use prosthetics that will enable these senses to function adequately to ensure that the requirements of this position can be fully met.
- Must function independently and have flexibility, personal integrity, and the ability to work effectively with residents, staff, and support agencies.
- Must meet the general health requirements set forth by the policies of this facility, which include a medical and physical examination.
- Must be able to relate to and work with the ill, disabled, elderly, emotionally upset, and, at times, hostile people within the facility.
- Must not have a weight-lifting restriction. Must be able to push, pull, move and/or lift to a minimum height of 5 feet and be able to push, pull, move, and/or carry a minimum distance of 50 feet.
- May be necessary to assist in the evacuation of residents during emergency situations.
