Description

Under general supervision, operates an integrated digital telephone system and acts as public receptionist for Town Hall. Greets and assists citizens on the phone and in person and directs to the correct department.

Examples of Duties

WORK ACTIVITIES:

  • Opens Integrated Digital Telephone System promptly each day.
  • Transfers night messages to appropriate voice mailboxes.
  • Answers incoming telephone calls on system and transfers calls to appropriate department or person.
  • Gives directions to visitors on location of departments or services.
  • Maintains informational material to provide assistance to the general public.
  • Maintains an accurate listing of telephone numbers and departments providing Town services.
  • Maintains a log of telephone system problems and concerns and reports such to direct supervisor.
  • Closes telephone system at the end of each business day and insures that system is prepared to receive night messages.
  • Provides general administrative clerical support consisting of light typing, alphabetizing, sorting, folding, and stapling various information and reports, and other tasks.
  • Assists with processing mailouts as needed by departments limited to stuffing, labeling, stamping and counting envelopes.
  • Observes and reports suspicious activities to supervisor.
  • Adheres to departmental, personnel, and safety policies and procedures.
  • Informs supervisor of all work activities.
  • Assists co-workers and other departments as needed.
  • Performs other duties as assigned.

Minimum Qualifications

BASIC QUALIFICATIONS:

  • A High School Diploma, GED, or vocational training is required.

  • WORK EXPERIENCE:
  • Must have one (1) year of experience in customer relations, telephone, and computer operations.

Must submit to and pass a post-offer, non-regulated drug test and thorough background checks (including criminal history).

Desired Qualifications

KNOWLEDGE / SKILLS / ABILITIES:

  • Must have a friendly attitude, knowledge of a phone system, and telephone etiquette.
  • Must have excellent computer keyboard, 10-key, and typing skills; communicative skills, verbal with excellent diction, enunciation, and voice modulation; and bilingual skills preferred but not required.
  • Must have the ability to learn to operate computerized telephone equipment with multiple line network; to receive and follow detailed instructions, verbal and written; to work well under pressure; to handle multiple telephone lines and the flow of visitors; to work effectively and efficiently with the general public and maintain a pleasant personality at all times.

PHYSICAL ABILITIES:

  • Must be able to sit for long periods of time, see, talk, hear, and have good hand-eye coordination.
  • May be required to move various boxed documents weighing up to 52 lbs. with the use of a dolly for assistance.

Regular Part Time employees accrue 3.34 hours of vacation leave and 4 hours of sick leave per month. All regular employees who are scheduled to work a minimum of one thousand (1,000) hours annually will participate in the Texas Municipal Retirement System.
