The part-time Records Assistant is part of a team that processes records requests and supports City of Raleigh departments in implementing records retention and disposition best practices. The ideal candidate will be familiar with North Carolina records laws, and comfortable using the latest technology.
The Records Program is a small team within the Communications Department, with a hybrid work schedule.
The Communications Department is a dynamic and creative team of 25-30 people that serves as a full-service PR, marketing, and communications agency within the organization. The team is comprised of experts in social media, video production, web services, print services, graphic design, email marketing, brand strategy, project management, crisis communications, public records, and PR / media outreach.

The Records Assistant is an integral part of the daily operations of the Records Program, which oversees and coordinates records requests, and supports internal customers with records retention, management, and disposition. The ideal candidate is detail-oriented, has the desire to learn, and can work both independently and as a team member.
A successful Records Assistant candidate will have a demonstrated track record of providing quality, consistent customer service to the public, while also successfully executing complex administrative tasks. These tasks may include correspondence with the public, the legal community, and internal partners; as well as file management, inventory of materials, and making decisions about what records to release.
The work schedule will be 20-25 hours per week, during normal business hours, four days per week.
Duties and Responsibilities
- Use technology to manage records, route and fulfill requests for records
- Evaluate records, apply state laws and organizational policy, and make recommendations on the best course of action
- Build relationships with departments and service areas, subject matter experts, and other internal partners, and provide support to them in identifying responsive records, records retention and disposition best practices
- Utilizing communication and interpersonal skills to interact with coworkers, supervisors, the general public and others to sufficiently exchange or convey information and to receive work direction
- Other duties may include searching electronic archives and extracting responsive records, helping to cultivate policies, and serving on relevant project teams
Typical Qualifications
Education and Experience:
Associate’s Degree in paralegal studies and one year of paralegal, legal assistant or legal secretarial experience
OR
An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.
Preferred Qualifications:
- Bachelor’s Degree in public or business administration or related field
- Five years of related government experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation

ADA and Other Requirements:
Positions in this class typically require: standing, walking, fingering, talking, hearing, seeing and repetitive motions.
Light Work:
Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work, and the worker sits most of the time, the job is rated for Light work.
Working Conditions:
Work is routinely performed in an indoor, office environment.
