Description
This position performs specialized work in planning, organizing, and directing the activities for seasonal camp programs, annual City holiday events, and various activities throughout the year, as well as ensuring efficient operation of all athletic programs including youth and adult sports. This position will be responsible for providing training, guidance, and direction for day-to-day activities of the Parks and Recreation Department and aid other coordinators in facilitating any additional programs that benefit the community.
Examples of Duties
• Prepares financial registration, attendance, and special project reports memos and correspondence.
• Assists in development of the budget, monitors, adjusts and manages day-to-day fiscal activities with regards to special events and recreation programs.
• Assists in purchasing required supplies budgeted and recommends future purchases.
• Performs some routine maintenance and cleaning tasks as required.
• Assists front office in scheduling facility rentals and collecting monies for deposits, registrations, or reservations. Responsible for collecting and logging receipts.
• May also perform custodial work such as required and assigned, including changing light bulbs, sweeping floors, vacuuming carpets, dumping garbage cans and relining the cans with liners, cleaning and sanitizing restrooms and replenishing supplies, cleaning supplies, etc.
• Plans, organizes, implements and supervises recreational activities of specialized nature; arts and crafts, nature awareness, camps, dancing, special events, etc.; as well as youth and adult athletic leagues
• Participates in conferences in planning comprehensive recreation programs and athletic leagues
• Schedule and coordinate special events and programs with Parks Supervisor (if field usage is needed) in a timely manner. Work to coordinate scheduling with recreation staff and document on designed software.
• Keeps organized financial records of purchases and planning for events, camps, athletic leagues and programs.
• Participates in the work of setting up and breaking down meeting rooms and facilities for functions.
• Manages the logistics of all special programs and events, including staffing requests, volunteers, equipment, parking, and supplies.
• Assures subordinate maintenance of and maintains communication with other employees, other departments, and the general public to assure effective operation of programs and facilities.
• Responsibility in reporting property damage to facilities, fields or vehicles.
• Creates various reports and projects as directed by the department director.
• Partners with various organizations within the community to create programmatic initiatives.
• Creates, prints, and distributes marketing/informational materials and calendars for programs, activities, events and suggestions.
• Communicates regularly with the public and responds to customer questions, requests, complaints, and suggestions.
• Follow up with clients and vendors to ensure satisfaction of the facilities, collect necessary documentation and monies.
• All other duties as assigned
Typical Qualifications
- Valid FL driver’s license or ability to obtain one.
- First Aid/CPR/AED certification or willingness to obtain within the first six (6) months of employment.
- Bachelor’s Degree with major course work in recreation sport, physical education, health or closely related field preferred.
- A combination of education and experience may be substituted in lieu of Bachelor’s Degree.
- Minimum of two (2) years of experience developing and creating special events and running programs such as youth camps.
- Basic knowledge of facility, grounds, and event management preferred.
- Knowledge in the use of Civic Rec computer scheduling software preferred.
- Knowledge of recreational activities suitable for all ages and abilities.
- Ability and willingness to create new programs and special events and promote to the public.
- Knowledge of Special Event planning, basic operational procedures for events from start to finish
- Ability to solve problems and address concerns.
- Ability to contribute to the accomplishment of team goals, objectives, and activities while maintaining effective working relationships.
Knowledge of standard office computer equipment and software applications, including tournament and league scheduling software preferred. - Ability to work late nights, early mornings, weekends, and holidays.
