Registrar Advisor

The Office of the Registrar, an academic service center for the University of Denver community, takes an active role in assisting students and faculty with registration and advising by providing the tools needed to review academic progress, create class schedules and successfully register for classes. Specialized services include, but are not limited to:

  • Registration for classes
  • Transcript and diploma distribution
  • Degree evaluation and certification
  • Enrollment and degree verification
  • Classroom Scheduling
  • Bulletin management

In addition, we provide pertinent information regarding academic policy, federal regulations, and procedures as related to the procurement, maintenance and release of educational records of our current and former students.

Position Summary

The Registrar Advisor provides student services advising and support to current students, faculty, staff, and alumni. The position works independently in researching, planning, coordinating, implementing, managing and communicating on central advising functions including degree audits & evaluations, registration, and institutional policies & deadlines. The position, using a broad knowledge of degree requirements, registration policies, processes, and procedures; and deep and collaborative connection to advisors, administrators, and faculty in departments, acts as a front-line resource for students navigating their degree programs, and for faculty implementing innovative degree programs and courses. The Advisor position works collaboratively with the Associate Registrar to analyze and implement procedures that ensure successful and transparent management of office functions and delivery of high-quality customer service.

Essential Functions

In addition to following the University of Denver’s policies and procedures, principal responsibilities include, but are not limited to:

  • Works directly with current students, advisors, and faculty on all manner of registration, records, and degree topics. In this role, position must have broad understanding of institutional and programmatic degree requirements so that they can provide timely advice to students and faculty as they navigate the institution’s policies and procedures related to student progress toward degree, graduation, creation of new degree programs, etc. Provides assistance and advice to students with online registration, registration changes, and status updates. Enforces institutional standards but works independently to interpret acceptable variations from policy to appropriately resolve issues as they arise. Develops and implements new procedures and systems to effectively serve constituents. (40%)
  • Provides degree evaluations to all undergraduate students entering their final year and advises students on completing outstanding requirements. Works with students and academic departments to craft personalized plans to degree completion. Completes final reviews of academic records of undergraduate degree candidate at the end of every quarter to determine graduation status and posts degrees. Reviews graduate credential certifications for accuracy and posts degrees and other credentials. Notifies undergraduate students that do not meet degree requirements of graduation status. Advises students on remaining requirements and the steps that must be accomplished in order to graduate. (40%)
  • Advises students on the requirements for different degree programs and maintains accurate curriculum data for students. Processes curriculum changes such as degree, major and minor changes, makes adjustments to student degree audits, communicates any issues with the degree audit with the appropriate department; updates degree audit system as necessary, communicates policies, procedures and changes to students, faculty and advisors. Creates and maintains documentation of procedures related to the degree audit. (10%)
  • Assists with production of the University Commencement Programs. Works with the Associate Registrar to plan commencement ceremonies. Assists graduates at the commencement ceremony. Assists with production and distribution of diplomas and certificates. (10%).

Knowledge, Skills, and Abilities

  • Ability to read, analyze, and interpret college catalogs and other university publications, transcripts, other application materials, technical procedures, or policy manuals. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions from students, University colleagues and the general public. Ability to speak effectively before groups of students and other employees.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to make decisions according to rules, regulations and procedures. Ability to make independent decisions in discretionary areas. Ability to extract pertinent information from catalog descriptions and similar documents
  • Knowledge of academic degree requirements, various college calendars, conversion of academic credits, academic policies such as accreditation is important. Knowledge of such policies at the University of Denver will be very helpful. The position works extensively with students, parents, faculty and staff. Thus, strong interpersonal skills are required in terms of both clearly and concisely communicating complex information and listening effectively. Personal computer skills are helpful. The position works regularly with computerized information systems.
  • Ability to routinely manage highly sensitive information related to degree progress and personal issues. Must exhibit independent judgement and maintain strict confidentiality in accordance with FERPA regulations.

Required Qualifications

  • Education – Bachelor’s degree
  • Work Experience – 1 year in Higher Education or comparable customer service/compliance environment

Preferred Qualifications

  • 2 years of experience in Higher Education

Working Environment

  • Standard office environment.
  • Unexpected interruptions occur often, and stress level is moderate to high.
  • Noise level is quiet to moderate.
  • Physical Activities

  • Ability to sit in front of a computer for an extended period of time.
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

    Monday – Friday, 8:00 a.m. – 4:30 p.m.

    In accordance with the University’s flexible work policy, this position is eligible to be considered for partial remote work. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.

    The salary grade for the position is 6.

    Hourly Range:

    The hourly range for the position is $20.50-$23.00.

    The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
