Description
Located on 7 acres in the heart of Cary, Downtown Cary Park offers an artistic landscape surrounding beautifully distinguished structures and spaces available for reserving to host a variety of gatherings. The Downtown Cary Park Rentals Coordinator provides outstanding service to rental clients and guests throughout the entire rentals process, from the initial pitch to event coordination to successful follow-up.

The Rentals Coordinator provides essential support to the new Downtown Cary Park through the facilitation of our rentals program. This position is responsible for coordinating rentals for all reservable Park properties and other revenue stream opportunities, such as photography and food trucks. The Rentals Coordinator should possess a strong understanding of what it takes to facilitate a successful rental experience for the client, including a strong customer service focus, exceptional organizational skills, and a passion for supporting community events.
Typical Tasks

  • Reviews and manages rental rates and packages on a yearly basis for Park rental spaces;
  • Prepares and maintains rental documents;
  • Coordinates closely with other Park staff to set rental calendars;
  • Responds to inquiries from potential renters and guide them through the renting process;
  • Schedules and provides Park tours to potential renters;
  • Trains Park Ambassadors to check availability of spaces, show potential renters spaces, and provide next steps in the rental process;
  • Administers renter and vendor contracts and documents;
  • Provides one-on-one coordination meetings with renters approximately one month prior to their rental;
  • Ensures that payments and insurance documentation are received;
  • Processes rental deposits, payments and refunds;
  • Assists in the hiring and training of part-time Activity Hosts;
  • Works with Programming staff to coordinate and schedule Activity Hosts to support rentals;
  • Conducts post-rental evaluations and address issues;
  • Creates revenue reports and projects revenue estimates for budgeting purposes;
  • Coordinates specialty rentals such as photo shoots;
  • Coordinates with surrounding businesses to provide collaborative rental opportunities;
  • Works with Food & Beverage Operator to provide special catering packages for unique events such as birthday parties, weddings, picnics and private dinners;
  • Creates and maintains the Park’s preferred catering list in conjunction with our Food & Beverage Operator;
  • Provides preferred catering list to renters and coordinates with the Food & Beverage Operator to ensure the renter is operating within the preferred catering list;
  • Contracts and manages food trucks for the Park in conjunction with the Food & Beverage Operator;
  • Performs other job-related tasks as required.

Knowledge, Skills and Abilities
Requires working knowledge of Microsoft Office and standard office equipment; knowledge of rental processes; superior customer service skills; strong organizational skills; ability to work independently; ability to communicate effectively orally and in writing; ability to establish and maintain effective working relationships with others; ability to interact with the public tactfully and constructively; ability to acquire knowledge of Cary policies, procedures, and the services of the department; ability to understand and carry out oral and written instructions specific to the Downtown Cary Park policies and procedures.
Minimum and Preferred Qualifications
Any combination of education and experience equivalent to a bachelor’s degree in business, hospitality, event coordination, recreation or a related field.

Prefers at least 3 years of experience coordinating rentals.

Special Requirements
Requires drug testing and background check (which may include criminal check, education verification, and credit history review) prior to employment.

Requires the possession of a valid driver’s license with an acceptable driving record.
