Job Description:

The department of Urology at the University of Florida College of Medicine is seeking applicants for the role of Residency Program Coordinator. This position manages all aspects of the residency training program, prepares and provides reports and serves as the Department of Urology’s Residency Program Coordinator. This position manages the educational program, budget, personnel, and resident recruiting for the Urology Residency Training Program. This position will implement and maintain administrative policies for the program.

Duties to Include:

Responsible for the overall management and administration of the residency training program for the Department of Urology. Supports up to 15 residents, familiar with ACGME requirements for the residency programs and assists the Residency Program Director and Associate Program Director in their efforts to meet these goals. Proactive in seeking to continuously improve the educational activities of the UF Urology Residency Program. Coordinates and provides support for the monthly education curriculum for the residency program such as Urology Grand Rounds, Case-Based Learning, Quality Assurance (QA) conference, etc. Generates monthly conference and travel calendars, and distributes these in a timely manner. Assist in organizing additional CME events which are hosted by the Department of Urology. Manages a budget that included directing the payroll appointment of residents. Monitor salaried appointments to ensure correct use of Federal/Shands Educational Support dollars. Supports the Program Director in preparation of reports, letters, etc. that are required to maintain accreditation. Coordinates interview schedules and itineraries for resident applicants. Works closely with department administration to prepare resident personnel appointments including new, reappointments, and terminations. Maintain individual files for new and former residents/fellows. Prepares orientation packets for all new residents. Compiles monthly and quarterly evaluation of residents. Notifies residents when faculty evaluations need to be completed. Oversees compliance with documentation requirements and generates appropriate reports for the Program Director. Assists in updating the residency guidelines handbook which is published on an annual basis. Assists residents in obtaining medical licensure and ensures new residents have full Florida Medical Licensure or unlicensed physician certificate. Similarly assist residents with paperwork for obtaining DEA licensure.

Prepares a variety of reports and other material including: resident effort reports, resident portfolio, monthly call schedule for Shands and VA, monthly rotation schedule, monthly conference calendar and sign-in sheets. Collects and collated resident daily time cards. Prepares monthly catering order for conferences. Primary contact for the Department, College of Medicine, Shands Hospital, Health Science Center, VA hospital and various state and national agencies as it pertains to resident matters.

Verification of past resident and fellow training. Coordinates annual residents’ welcome event, residency graduation dinner, preparation of awards/diplomas, negotiates contracts with outside vendors for dinner venue, etc. Coordinates annual resident research day, makes all venue arrangements, orders food, etc. Assist in travel preparation and other arrangements for resident travel to approved scientific meetings and review courses. Prepares resident leave request for approval of Chair, prepares travel vouchers for reimbursement, and maintains a cumulative log of annual and sick leave for residents. Maintains non-programmatic records, works directly with faculty on assignments of UF medical student rotations and non-Florida medical resident (externships). Plans and coordinates Grand Rounds and Journal club meetings. Secure space and prepares agendas.

Works in close conjunction with faculty to provide problem solving for projects. Researches operational problems and recommends/implement solutions. Works with computer technology office to coordinate solutions for telephone and computer related problems.

Other Duties as Assigned

Expected Salary:

$60,000 – $70,000

Minimum Requirements:

Bachelors degree and three years of experience coordinating educational programs, accredited residency and/or fellowship programs; or an equivalent combination of education and relevant experience.

Preferred Qualifications:

Must have experience coordinating educational programs.
