Job Description:
Pre-Award Administration: responsible for overseeing the development and preparation of grant/contract applications, including clarification of policies with funding agencies; preparing and editing budgets and budget narratives; ensuring all application directives are met and responded to appropriately under strict deadlines. This will include assisting faculty and residents to identify possible funding sources for their research, advising on proposal preparation, reviewing agency submission guidelines and procedures, and working with various electronic proposal systems (such as UFIRST, Grants.gov, NIH commons, etc). This position will edit and review proposals for correct language, grammar, punctuation, and work closely with PI’s to prepare budgets that include the calculation of personnel salaries, project expenses and facilities cost. This individual will be responsible for assuring all proposals are routed for department approval, liaising with the College of Medicine, other Colleges and the Division of Sponsored Research. This individual will assist in completing university and agency forms; reviewing all grant applications prior to submission, ensuring that all technical requirements of the funding agency are complete, accurate, and appropriately formatted.
Post Award Administration: Upon the receipt of grant funding, this position will work in conjunction with the accountant to set up the award in UFIRST, ensure all requirements are followed, in addition, confirm all technical requirements of the funding agency are met, sending report reminders to PI’s and processing post-award changes for sponsor approval. The Research Administrator II will also work with the accountant to process modifications in UFIRST for project changes, distributions, increments, monitoring sub-awards, etc. Assist in the transfer of grants from other institutions for all new faculty, closeouts, space, effort reporting, etc.
Grant and Record Management: Manage all records related to research grant proposals and submissions in the department. Ensure that a master copy of each grant is maintained for Department archives. Maintain a master calendar for all submissions to ensure they are processed in a timely manner. Maintain a database of all records for use in creating customized reports for internal and external reporting. Assist with the coordination of department-wide training in proposal writing, research administration, funding source database usage, and special project outreach. Assist with all investigator-initiated and non-pharmacological clinical trials.
Expected Salary:
$50,000 – $60,000
Minimum Requirements:
Bachelor degree and two years of experience in grant and contract administration; or an equivalent combination of education and experience.
Preferred Qualifications:
Experience with grant writing, previous research experience, knowledge of grants, writing grants, negotiating research contracts and working with the Internal Review Board (IRB). Must have the ability to interpret, apply grant and contract guidelines, and regulations. Excellent verbal and written communication skills. Knowledge of University of Florida, State and Federal Rules, regulations, policies and procedures pertaining to extramural grant and research contracts.
