Job Description

The Herberger Institute for Design and the Arts (HIDA) Dean’s Office seeks a talented Research Advancement Administrator candidate to join our dynamic Research Advancement team. Our collaborative team is comprised of highly productive and creative individuals who are seeking a new member of the team to advance our research enterprise. Under the supervision of the Assistant Director of Research Advancement, the position will manage pre-award activities for HIDA’s five schools and the Art Museum and the development of new funding opportunities. While the position primarily focuses on pre-award duties, there may be limited post-award support or other duties as needed by the team.

Working Environment

  • Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of sitting.
  • Visual acuity and manual dexterity associated with daily use of desktop computer
  • Bending, stooping, reaching and lifting up to 20 pounds.
  • Ability to clearly communicate to perform essential duties.
  • Ability to work both independently or within a complex structured team.

Minimum Qualifications

Bachelor’s degree in a related field. Three years of experience in a field appropriate to the area/unit of assignment OR Any equivalent combination of education and/or experience from which comparable knowledge, skill and abilities have been achieved.

Flexible work options
• Alternative work schedules can include four, 10-hour workdays in a workweek; a nine-day, 80-hour schedule over two workweeks for exempt employees only; and staggered start and stop times.

Desired Qualifications

  • Demonstrated knowledge of ASU systems including the Enterprise Research Administration (ERA) System
  • Experience in a higher-education research advancement setting with a proven track-record of successful management of research grants
  • Experience with Microsoft Office Suite, especially Excel, and Adobe Pro Acrobat
  • Demonstrated knowledge of a wide variety of sponsors with complex requirements including NEA, NEH, NSF, NIH, DOE, DOD, other local and federal agencies and private foundations, and/or ability to read funding announcements and become knowledgeable on new sponsors
  • Demonstrated knowledge of AZ Board of Regents policies, Research and Sponsored Projects (RSP)
  • Experience working independently as well as a member of a unit team
  • Ability to effectively respond to complex situations involving numerous and sometimes competing university constituencies
  • Adept at navigating complex environments with evolving priorities and communication plans
  • Ability to utilize cross unit knowledge and understand to overcome issues to achieve results
  • Experience in being a problem solver who can take initiative and set priorities to meet multiple deadlines while being flexible
  • Experience in understanding user needs, requirements and requests to identify priorities; escalates urgent/conflicting requests
  • Evidence of effective collegial interpersonal skills and an ability to communicate effectively in person, writing, and by phone to establish and maintain effective professional working relationships
  • Experience in providing guidance to new personnel in department policies and practices; may be assigned as mentor

Essential Duties

  • Performs funding searches to help identify opportunities
  • Reviews funding announcements and providing guidance on eligibility and sponsor requirements
  • Contacts sponsors for clarification of application guidelines
  • Acts as administrative resource to ASU research investigators, provides guidance and counsel during development, pre-submission administrative review, management, authorization and transmittal of grant and contract proposals to federal, state, and private funding agencies to verify and ensure ongoing compliance with all applicable regulatory and financial compliance requirements.
  • Aids in drafting budget justifications in conjunction with PI/Unit
  • Assists sub-recipients with questions related to completing sub-recipient commitment forms
  • Prepares sponsor budget forms or creating acceptable budget formats
  • Assists with and completes other sponsor required forms and review for compliance (current and pending support, biosketches)
  • Completes administrative information according to sponsor guidelines Completing and routing all internal forms (300s) using information provided by PI/Unit
  • Verifies cost sharing required by sponsor
  • Uploads files for sponsors requiring electronic submission Reviewing proposals against guidelines before sending to the Office of Research and Sponsored Project Administration
  • Submits applications to Office of Research and Sponsored Project Administration for review, signature, and transmittal to sponsor
  • Assists with post submission action items requested by the sponsor such as Just In Time requests, revised budgets, scope of work, additional certifications, etc
  • In conjunction with and in support of ORSPA, aids and supports securing additional information during negotiations as necessary; reads award documents to determine restrictions and other pertinent information
  • Prepares weekly funding announcement and events/workshops newsletter
  • Offers insights, inputs, and suggestions to improve the Herberger Institute Research Council, its benefactors, and its beneficiaries
