Responsibilities

The Sales Coordinator I position is responsible for supporting Account Executives, Finance, and Operations throughout the lifespan of a show or project. The primary support function will include Salesforce opportunity creation, maintenance and pipeline accuracy, proposal preparation and revisions, invoicing (both within Fusion projects and within the Account Management System), contract preparation and redline facilitation with legal, insurance requests, collection, and direction of payment application, purchasing, and overall project monitoring. This position is responsible for coordinating approximately 30 projects per year with value up to 200,000.00 from our Dry Hire, Touring, and business development markets. Daily monitoring of Salesforce, data clean up, and special data entry projects will be assigned to the Sales Coordinator I. This position also handles overflow from Coordinator II and III and helps provide support for the coordinator group. This position is also responsible for coordinating with Account Manager I, and low level to entry level Account Executives, development customers, and dry hire work with an emphasis on Salesforce coordination, data entry clean up, alignment of systems and dry hire to small project management.

Essential functions

  • Daily sales support, and coordination with accounting, sales, and operations.
  • Creating and maintaining all Salesforce opportunities for Music from solicitation to closed won (responsible for pipeline and forecasting accuracy)
    • Constant communication with sales group to ensure reporting accuracy.
    • Runs reports in Salesforce to maintain Salesforce statuses, communicates on a weekly basis with Sales Executives to ensure their entries, administers applicable updates.
    • Creates and runs reports for management on a weekly basis.
  • Connecting with PM’s and organizing all aspects of a project to prepare uniform client facing proposal.
    • Overseeing quote turn-around times and deadlines
    • Checking all budgets and assists in communicating to ensure budgets are cohesive across disciplines.
    • Critical thinking and review of labor estimates; working with labor department
    • Cross referencing RFPs with budgets for accuracy
    • Sending customer proposal and overseeing responses and communications
    • Make all updates and changes needed until closed won.
  • Gathers billing details and does due diligence for new customers (credit checks, insurance, required documents etc.) upon opportunity confirmation.
  • Initiated fusion project management set up.

  • Creating customers in the AMS and invoicing ‘push to print’ for dry hire
  • Creating terms and conditions for all projects (or for dry hire, forwarding Master Agreement)
    • Overseeing redline process.
    • Acting as a liaison between legal and customer
    • Ensuring all legal discussions are facilitated until final, signed contract is achieved.
    • Finalized contract saved in opportunity in Salesforce and share drive.
  • Creating weekly bill schedule for tours to dictate invoicing (included on contract)
    • Monitor and handle upwards to 200,000.
    • Managing and organizing all invoicing for Music, weekly bill schedules or one offs
  • Making insurance request, and working with our carriers for reciprocal
  • Responsible for all collections of projects managed.
    • Monitoring terms and chasing all payment to keep aging healthy.
    • Managing deposits and COD
    • Running credit cards for COD
  • Instructing and guiding corporate finance on payment application
  • Purchase orders in Fusion
  • Ensuring all systems match
    • Salesforce final, matching contracted end amount, matching Fusion contract for cohesive reporting.
  • Working with Accounting to assist with revenue event organization for EOM processes.

Qualifications

Knowledge, Skills, and Abilities

  • Proficient in Microsoft Office Suite (Outlook, Excel and Word); experience with Oracle Fusion, Oracle 11i, Salesforce a plus
  • Highly organized, able to work in high pressure environment.
  • Ability to multitask required to execute timelines and stay on tight schedules.
  • Excellent people and communication skills

Required education and experience.

  • High School diploma or GED Certificate
  • Entry level accounting background or demonstrated working knowledge of general accounting concepts will be required for success in this position. Entertainment industry experience a plus.

Physical demands

  • Must be able to remain in a stationary position for extended periods of time.

  • Must be able to communicate effectively by listening and in both written and verbal forms.

The pay range for this position is estimated to be $22-26/hour. Actual salary to be determined by the experience, knowledge, skills and abilities of the applicant combined with location and alignment with market data.
