I. JOB OVERVIEW

Job Description Summary:

The George Washington University Development and Alumni Relations (DAR) Division is seeking a Project Coordinator, Donor Relations. DAR is responsible for leading the university’s alumni and fundraising efforts and seeks to promote a culture of philanthropy throughout the university community, including alumni, students, parents, faculty, staff, corporations and foundations, patients and other friends. Our goal is to advance GWs mission of excellence in education, research, scholarship, and patient care.

This position is the first point of contact for colleagues regarding Donor Relations’ projects and processes, and is responsible for Donor Relations project management from initiation to execution and evaluation. The incumbent has direct oversight of the gift acknowledgement process and provides essential logistical support for donor stewardship events. The incumbent provides critical organizational and analytical support to the team as part of strategic decision-making about existing projects, process improvements, and new initiatives.

Responsibilities include:

  • Coordinate highest priority donor relations projects from start to finish, including feasibility, assisting with prioritization, and collaboration with cross-functional teams. Utilizing formal and informal project management techniques and high attention to detail, lead project teams and proactively manages up on status and next steps.
  • Manage the Presidential and Vice Presidential gift acknowledgement process and develop (and maintain) mechanisms for tracking donor acknowledgments. Conduct audits of gift acknowledgements across the schools and units on campus to ensure consistency and compliance with industry best practices.
  • Provide event support for high-profile donor events with university leadership including managing the invitation process (e.g., oversight of event registrations, communicating with guests and volunteers, tracking responses). Leverage project management skills and tools, such as timelines and agendas, to communicate progress and ensure seamless planning and execution of donor events.
  • Lead cross-campus donor signage best practices, including managing database and communicating best practices, working closely with partners in Facilities to ensure compliance with university standards for plaques and signage.
  • Manage gift document process and storage for the Donor Relations team. Provide information to DAR clients and senior management related to gift stewardship and recognition documentation.
  • Develop and implement standardized definitions for team metrics and conduct analyses for donor relations activities and events focused on donor retention and donor engagement strategies.
  • Provide general administrative support for Donor Relations. Other duties as assigned. Ability to work occasional evenings and/or weekends as required for special events.
  • Perform other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Preferred Qualifications:
• Formal project management work experience in higher education or a similar non-profit fundraising environment. Consistent success in supporting multiple project deadlines with outstanding attention to detail and proactivity/self-direction.
• Superb customer service approach with well-developed interpersonal skills to build and sustain collaborative and lasting relationships with a wide variety of internal and external constituents. Resourceful with the ability to analyze information or circumstances to define problems and suggest solutions and/or methods of implementation. Demonstrate a high level of personal integrity, discretion, and diplomacy.
• Demonstrated ability to independently plan, organize, and work on multiple projects simultaneously; ability to make effective timely decisions/recommendations and meet deadlines in a dynamic environment. Skilled with meeting and project management, including scheduling, disseminating materials, tracking RSVPs, recording minutes or preparing summations.
• Strong written and verbal communication skills to convey information accurately and interact effectively and diplomatically with donors, executive assistants, DAR staff members, and university administrators. Proficiency with preparing, proofreading, and editing a variety of correspondence and reports for correct grammar, punctuation, spelling, syntax, and compliance with university and outside style guides with excellent attention to detail.
• Proficiency in Microsoft Office and Google Suite, experience with databases/CRMs to prepare and/or edit correspondence, reports, and presentation materials with speed and accuracy; ability to learn new technologies and software applications in a prompt and efficient manner.
• Ability to maintain a reliable and predictable work schedule to best accommodate the efficiency of department needs.
