As an Administrative Assistant, you will be responsible for assisting clients in all of the various legal issues handled by the office, assisting the Senior Legal Assistant and attorneys with administrative duties, operations, and coordination of the Legal Services department, and maintaining caseload records for the office.

Responsibilities

  • Meet with clients over the phone and in person, answer the telephone, respond to texts, WhatsApp and email contact with the public, clients and volunteers.
  • Write detailed file notes, emails for attorney review, maintain, and order office supplies and scan/photo copy documents as requested.
  • Coordinate regularly scheduled legal clinics and client and/or volunteer meetings.
  • Maintain confidentiality of files and databases containing legal and personal information about Open Door Legal Services (ODLS) clients and volunteers.
  • Handling client intakes to gather information about client concerns, legal issues they need help with, priorities they have for handling their issues, and personal demographic information of clients.
  • Performance of client related work such as calling courts to research the status of a client’s case, communication with administrative agencies on a client’s behalf, and other such tasks with the support of the Senior Legal Assistant or an attorney.
  • Attend and participate in all Mission, Division and Department meetings and trainings, as required.
  • Any other job-related duties as assigned by supervisor.

Qualifications

  • Associate’s degree or higher in Social Work, Journalism or a related field is preferred. A combination of education and relatable experience may be substituted for an Associate’s Degree.
  • 2+ years of experience working in a professional office environment is required. Experience supporting a legal practice is strongly preferred.
  • Experience working with a diverse group of people who are working through complex legal situations and/or are in crisis is highly preferred
  • Proficient to advanced skills using office equipment (fax, copier, scanner, etc.)
  • Proficient to advanced experience using Microsoft Office Suite

Work Environment

While performing the duties of this job, the employee is frequently required to sit for long periods of time in a temperature-controlled environment. Occasionally will stand, balance, twist, stoop, kneel and reach with hands/arms. Occasionally lifts up to 20 pounds and walks, use stairways to climb to multiple floors within the company. Specific vision abilities required by this job include close vision, color vision, distance vision, depth perception, and ability to adjust focus.
