Yakima Valley College is accepting applications for the position of Secretary Senior – Dean’s Office in the Arts and Sciences Division on the Yakima CampusThis is a full-time, classified position with a beginning salary of $3,006 per month for 40 hours per week, with periodic increments of up to $3,974 plus a full state benefits package.

Reporting to the Program Support Supervisor 2, the Secretary Senior is to manage the day-to-day administrative aspects of the Dean of Arts & Sciences office. We are looking for someone to join our team who has a desire to work as efficiently as possible, possesses excellent communication skills, and can manage multiple tasks at once without becoming overwhelmed.

Essential Tasks
MINIMUM QUALIFICATIONS:
1. High school graduation or equivalent AND
2.Two years of increasingly responsible office experience requiring keyboarding or typing

PREFERRED QUALIFICATIONS:

  • Associate’s Degree in Business or closely related field from an accredited institution
  • Experience in higher education and/or K-12 setting

KNOWLEDGE OF:

  • Microsoft Office Suite (Outlook, Teams, Word, Excel)
  • Zoom
  • Adobe Acrobat

ABILITY TO:

  • Communicate effectively verbally and in writing
  • Organize and manage several tasks at once
  • Empathize with all who you encounter
  • Maintain assiduous calendar using Outlook
  • Work in a highly diverse environment
  • Exercise professional judgement when working with students, staff, faculty, administration, and the general public

Qualifications
ESSENTIAL TASKS

Administrative

  • Greet and assist students, staff, faculty, administrators, and the general public via phone and/or in person with inquiries and general information in a friendly and positive manner
  • Use forms and/or various software programs to prepare accurate requisitions, travel documents, maintenance requests, etc.
  • Order office/instructional supplies as needed/requested
  • Maintain filing systems (electronic and/or hard copy) as needed
  • Attend meetings as required: A&S division, staff, Curriculum Committee, etc.
  • Schedule meetings for the Dean; maintain the Dean’s calendar
  • Update, maintain, and upload the Majors Worksheets annually or as needed

Personnel

  • Track absence requests for all division faculty
  • Collect FT faculty schedules each term
  • Collect syllabi for all A&S courses taught each term
  • Create Reasonable Assurance letters for PT faculty and distribute each Spring
  • Create and distribute Load Letters to PT faculty each term
  • Schedule faculty observations and follow-up meetings for the Dean
  • Maintain, edit, and organize tenure reports for faculty participating in tenure process to submit to VP-ISS
  • Initiate PT faculty hiring paperwork for A&S division

General

  • Participate in professional development when/where applicable
  • Create A&S newsletter each term
  • Sort mail for all in the building
  • Take initiative to learn about other departments on campus
  • Perform other duties as assigned
