REPORTS TO: DIRECTOR OF RECREATION
FLSA STATUS: NON-EXEMPT
NATURE OF WORK
This is professional secretarial work of fairly independent nature, providing administrative support to the Director of Recreation and the Program Manager, for all recreation activities. This position is largely a Monday-Friday, steady daylight job with excellent benefits and a pension.
ESSENTIAL JOB FUNCTION
Clerical and receptionist activities at the Recreation Department Office.
Assists with senior activities and special events.
Collects and accounts for program registrations and related funds.
Reserves park facilities, types and distributes park permits.
Prepares and submits invoices and payments to the Finance Office.
Maintains databases for various departmental activities.
Types departmental specifications, reports, and letters. Drafts letters and forms. Maintains files.
Answers telephone and screens calls.
Greets the public and assists them in obtaining correct information or location.
Defines programs and processes registrations through recreation software.
Reconciles daily deposits.
Develops informational flyers, displays and presentations regarding the Recreation Department.
Assists department with Recreation events on occasional weekends and evenings.
Maintains regular and punctual attendance.
OTHER JOB FUNCTIONS
Performs all other work assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Clear understanding of recreation departmental activities and procedures.
Skill in meeting public and communicating effectively.
Multi-task oriented.
Knowledge of computer systems such as Word, Excel and Access and recreation management software.
REQUIRED EDUCATION, TRAINING, & EXPERIENCE
High school diploma or G.E.D.
Two years secretarial experience.
PHYSICAL DEMANDS
The employee is regularly required to sit, stand, walk, bend, stoop; use hands to handle, or feel equipment and supplies. The employee is required to operate office equipment. The employee will need to be able to regularly sit or stand for long periods of time. The employee must occasionally lift and move objects up to 25 pounds. Requires normal range of hearing, eyesight and verbal communications to answer phone calls, assist customers and type information.
Environmental demands: While performing the duties of this job, the employee regularly works indoors in a controlled climate. The employee must occasionally assist with outdoor events, and work in various weather conditions.
