Purpose
~ This position supports HMA’s Senior Counsel, Risk Management & Compliance, Manager, Legal Claims, and Executive Director, Risk Management & Compliance on all aspects of corporate compliance, state licensing, company auto claims, supplier insurance verification, corporate governance, and special risk-management and compliance projects.
Major Responsibilities
HMA Corporate Compliance:
~ Responsible for maintaining accurate and timely records of all compliance documents. This includes maintaining records of compliance trainings for HMA executives and employees and keeping meticulous records of compliance advice and investigations in areas of anti-corruption, international sanctions, export and import controls and regulations, forced labor, election law, charitable contributions, DMV requirements, conflicts of interest, Vehicle Loan Agreements, and the HMA Vehicle Lease Program.
~ Assists Executive Director and Senior Counsel with compliance investigations and providing compliance advice, which includes conducting legal and factual research as needed.
HMA and GMA State Licensing:
~ Ensure assigned state Distributor licenses, Distributor Branch licenses and Distributor representative filings, applications, renewals and supporting documentation are accurately and timely submitted in accordance with state regulations.
~ Maintain detailed lists of licenses and permits to ensure all are current. Maintain detailed document calendar to ensure the timely filing of all renewals and reports and update licensing budget information.
~ Research and advise on special issues arising during the licensing process in assigned states.
Supplier Insurance Verification:
~ Responsible for maintaining supplier insurance documents and files, as well as managing certificates of insurance and endorsements received from HMA suppliers and stored by HMA and/or its insurance provider.
~ Works with HMA Purchasing and business units to verify supplier insurance.
Major Responsibilities (continued)
Corporate Governance:
~ Supports Executive Director and Senior Counsel prepare corporate resolutions and minutes and maintain accurate and timely records of corporate meetings.
~ Communicates with executives to authorize and preserve corporate governance records.
Company Auto Claims:
~ Investigate, prepare documentation and files, monitor and resolve company car usage issues, damages, accidents and claims, working with drivers, Vehicle Administration, regional offices, affiliates and insurance personnel.
~ Establish strong communications with the at-fault carrier and body shops to negotiate and settle claims. Negotiate repair estimates, as well as liability with adverse parties and insurers.
~ Supports the Executive Director, Risk Management, HMA’s Manager, Legal Claims and the Risk Management/Company Car Team with various administrative functions such as check processing, research and investigation in company car losses and case handling.
Special Risk-Management and Compliance Projects:
~ Supports Executive Director, Senior Counsel, and Manager, Legal Claims on special risk-management and compliance projects related to international trade, vehicle usage, manufacturing, HMA’s insurance programs, contractual insurance and indemnity requirements, legal review of business projects, and other unique and time-sensitive matters as needed.
Authority
~ Approve vehicle repairs up to $5,000.
~ Authorized to negotiate repair settlements with the adverse insurance carriers as per Hyundai guidelines.
~ Authorized to represent HMA at mediation or small claims court as per Hyundai guidelines.
Education
~ Bachelor’s degree preferred
~ Must be a high school graduate
Related Experience
~ Four to six years combined working experience as a paralegal at a law firm or in-house legal department.
~ Experience working at or with an auto OEM desired.
~ Experience with auto claims.
~ Experience with international corporate compliance programs, including record keeping and training.
~ Knowledge of state licensing laws and DMV requirements.
~ Knowledge of contractual insurance requirements and liability coverage forms.
Skills/Knowledge
~ MS Office, with emphasis on Access, PowerPoint, Word, Excel, and SAP.
~ Familiarity with insurance databases and platforms.
~ Must be highly detail oriented.
~ Strong organizational, analytical, and negotiation skills.
~ Ability to communicate clearly and effectively with executives and across cultures.
Certification Required
~ Paralegal certificate or experience preferred.
~ Notary certificate or experience preferred.
