Job Title: Sr. Development Associate, Administration

Department: Development

Reports to: Chief Development Officer (Primary)

Executive Director/CEO, Director of Special Events (Secondary)

Status: Full-time, exempt

Salary Range: $50,000 – $55,000 / year

Summary:

The Development Associate, Administration provides administrative support to the Chief Development Officer, select task-based administrative support to the Executive Director/CEO, and supports the Director of Special Events through back office administration for the Houston Symphony League.

Essential Job Functions:

CDO support:

  • Prepare correspondence and other written communication as needed
  • Assist CDO with preparation for Board and Committee Meetings, including preparing presentations and reports
  • Assist with execution of donor stewardship events, including private rehearsals, corporate events and galas as needed
  • Assist with donor record maintenance in Tessitura, shared electronic files and hard files
  • Manage the progress of development campaigns by attending and preparing meeting notes, follow-up documents and action items
  • Prepare monthly reports for communication with the campaign leadership
    and for reconciliation with the Finance team
  • Develop meeting agendas, campaign-related proposals and
    correspondence
  • Manage other campaign-related activities including:

o Prepare cultivation and solicitation materials for volunteers and staff

o Schedule appointments and meetings

o Assist in processing gifts and pledges and logging in the database

o Assist with the execution of cultivation and stewardship activities

o Provide editing/proofing support for grant applications and other
written materials

  • Coordinate logistics for campaign-related events and activities
  • Attend performances and donor events as required
  • Provide additional administrative support to the CDO as needed

Executive Director/CEO support:

  • Assist Executive Director/CEO with calendar and scheduling
  • Make travel arrangements
  • Process monthly expense reports
  • Provide additional administrative support as needed

Director of Special Events support for Houston Symphony League Administration:

  • Track and manage Houston Symphony League member expenses and invoices
  • Work with League treasurer to ensure efficient expense and invoice procedures and strong communication between League and Symphony staff
  • Prepare and distribute bi-weekly transaction reports to League
  • Set up and track payments for League events, working with relevant League Board members
  • Work with League Vice-President of Membership to track membership payments and lists

Qualifications

  • Bachelors degree preferred
  • Meeting planning and administrative experience
  • Ability to work in a fast-paced environment with changing priorities
  • Great attention to detail and ability to handle multiple projects while maintaining an outstanding standard of quality and accuracy in completion of job functions
  • Strong interpersonal skills, diplomacy and tact in interacting with a diverse group of individuals
  • Excellent written, verbal and organizational skills
  • Excellent computer skills
  • Ability to work some nights and weekends
  • Interest in and knowledge of classical music is a plus
