Senior Manager, Contractor Recruitment and Workforce Account Manager – Olympic & Paralympic Games

On Location is looking for a Senior Manager to work on the Olympic & Paralympic Workforce Operations team. This position will report to the Director – Olympic Workforce Operations. This position will work within the growing Workforce Operations team to assist with developing, recruiting, and growing the contractor database, which will support the On Location Olympic hospitality teams’ operation during the Olympic Games.

Primary Responsibilities

  • Work with remotely based Director and closely with Senior Managers, Managers, Coordinators, in the department to create a positive and efficient environment focused on executing with excellence.
  • Involved in establishment and keeping oversight of the overall On Location workforce strategy, with a focus on Olympic events
  • Assist in building and managing a growing workforce team in partnership with all business units to ensure all staffing needs are met for events across the organization
  • Work with Director, Senior Director & staffing agency to ensure all staff paperwork is finalized (confidentiality agreement, contract, finalize dates, etc) in a compliant manner
  • Work with Local Staffing Agencies and HR to ensure compliant contracting and create processes to manage timesheets and on-site scheduling
  • Maintain consistent onboarding practices across On Location while adapting to the specific needs of respective teams
  • Work directly with the Workforce Housing team to ensure that pre-event and on-site accommodations meet the needs of all staff travelling to Paris
  • Manage operational budgets for all staffing needs
  • Work closely with all other Olympic teams to understand their staffing needs and work with Senior Director and HR to bring all relevant contractors/staff onboard.
  • Represent On Location at job fairs, university, and volunteer programs alongside other On Location staff departments.
  • Assist with leading on-site training for major events
  • Create and distribute event-related communications to staff concerned
  • Manage event budgets and measure post-event results.
  • Manage operational planning around the following:
    • Paris based international workforce
    • Local talent recruitment
    • Billing, reconciliation, and collection process for operation services
    • Onboarding and training
    • Uniform distribution
  • Create and distribute operations-related communications to applicable staff (e.g., travel and accommodations)
  • Work in conjunction with and communicate diligently as it relates to Commercial and Stakeholder Staff Operations, including but not limited to the following departments:
    • Product Architecture
    • Hotel Accommodations
    • Transportation and Operations
    • Event Experiences
  • Cultivate a working knowledge of all operations events/services
  • Review post-event notes and client surveys to ensure brand quality standards and levels of service were achieved.
  • Maintain the collection, input, and documentation of event summary information
  • Execute all other duties assigned by the team or leadership
  • Available to assist other workstreams related to Olympics as needed

Recruiting and On-boarding

  • Sourcing of staff in local markets of need where events may be occurring
  • Management of recruitment campaigns and social media groups as related to Contractors, Ambassador Network Program, Local area talent
  • Screening candidate applications and coordinating communications throughout the recruitment process
  • Reviewing and coordinating interview approvals and process
  • Coordination of on-boarding paperwork for new hires including collection of ancillary employee information or documents as needed
  • Pre-program staff communications and onsite staff training.
  • Employee and compliance reporting related to agency and contractor staff.
  • General mass communication, updates, and out-reach with candidates in the staffing network
  • Assist in creating and distributing operations-related communications to applicable staff (e.g., travel and hotel accommodations).
  • Manage process and resources, assisting with staffing at peak times
  • Communication and relations building with staff agencies/outside vendors
  • Assist with submitting and auditing payroll report for approval to/with payroll vendor for contractors
  • Collecting and compiling data as indicated for applicable staffing reports
  • Assisting other teams with budget information as it pertains to staffing and staff expense
  • Continually ensuring best practices and reporting any obstacles or growth opportunities to Director Workforce Operations
  • Consistent communication with staffing partners as needed
  • Ensure all staff receive clear communication, safe working areas, and tools they need to do their job well.

Financial Management and Reporting

  • Staff budgets & post event reporting and analysis relating to staff/event expenses, payments, reconciliations.
  • Present reports tailored to the specific event or client
  • Maintain the collection, input, and documentation of event summary information

Administrative & Other Responsibilities

  • Create presentations and documentation in Microsoft office (PPT, Word, Excel, etc.) or Keynote as needed and assigned.
  • Attend meetings to record updates and next steps, when required
  • Manage timelines and deadlines related to assignments.
  • Participate in brainstorm sessions; research, ideate and provide creative ideas.
  • Manage other administrative duties as needed.

Management & Training

  • Work with Senior Director and Director to design, document, and implement operational training programs and best practices for the event teams.
  • Develop training materials, coordinate training programs.

Travel

Must be adaptable with work and travel schedule, including both domestic and international destinations. Available to travel for work during holidays, weekends, and key event times.

Hiring pay rates are based on a number of factors, including location and may vary depending on job-related qualifications, knowledge, skills and experience. Endeavor strives to provide locally competitive rewards packages, which include base rate along with, as applicable, short- and long-term incentives, growth and developmental opportunities, and robust benefits, such as health care, retirement, vacation and other paid time off, and additional offerings.

Hiring Range Minimum:
$58,500 annually

Hiring Range Maximum:
$75,000 annually
