Role description:

As a Senior Project Administrator, you will supervise a team of 4-5 Project Assistants who support the Project Managers and operations in the NY Area. You will have regular interaction with the Project Controller(s) and Finance Manager regarding contracts and project specific financials and metrics.

You will also work on project-specific work, such as: tracking progress of various ongoing projects, prepare reports regarding contracts for management use, project budgets and preparing and distributing routine correspondence related to the projects, for a variety of project teams simultaneously.

Role accountabilities:

  • Supervise Project Assistants and assist them with their career development.
  • Track and monitor project schedules, budgets and support all aspects of project and financial management for the NY Area.
  • Provide and analyze financial project metric reports for project managers. (Project Revenue, profitability, accounts receivable etc.)
  • Setup new projects and update project forecasts in the project management tools.
  • Prepare documents associated with client billing related to client contracts.
  • Verify invoices comply with contract terms.
  • Prepare sophisticated reports and spreadsheets, conducting a high level of quality control of documents following the guidelines associated with billing large municipal clients.
  • Participate on monthly project reviews with Finance Managers and Project Managers.

Required Qualifications:

  • Certification in Business, Accounting, Finance, or a related field of study
  • 10 years of technical/administrative financial experience in a fast-paced setting
  • Experience with client contract and billing in a service related industry
  • Employee supervisory experience

Key Skills and Abilities:

  • Strong project accounting experience
  • Effectively supervise a team to meet month end deadlines
  • Ability to prioritize and plan your work – Excellent time management skills
  • Strong interpersonal and communication skills
  • Understanding of when to escalate issues
  • Previous experience with client billing procedures
  • Advanced proficiency with desktop applications (e.g., Microsoft Word, Excel, PowerPoint),
  • Ability to work under time constraints to accomplish goals and objectives, handle multiple projects for several project managers simultaneously
  • Excellent analytical skills, with a strong attention to detail
  • Self-starter, able to anticipate needs ahead of requests

Preferred Qualifications:

  • Bachelor’s degree
  • NYC billing experience
  • Experience using Oracle

We offer seven paid holidays and potentially up to two floating holidays per calendar year depending on start, and 15 days PTO that accrue per year. The salary range for this position is $103,000 – $154,000.
