Senior Project Administrator/Coordinator

Brown and Caldwell is seeking a Senior Project Administrator / Coordinator to support our Midwest team. Our ideal candidate will proactively partner with Project Managers, and other project team members to help manage and coordinate projects from start to finish. Based in St. Paul, MN, this hybrid position offers the flexibility to work remotely 1-2 days per week based on project needs.

Detailed Description:

  • Assist with project initiation activities, including supporting development of project management plans, quality plans, project schedules, and field work and safety plans.
  • Assist in the management of internal project design and deliverable schedules.
  • Coordinate and assist with the preparation of letters, reports, spreadsheets, agendas, meeting minutes, presentations and other complex and sometimes time sensitive documents. This will include formatting client deliverables in our branded templates and proofreading and copy edit technical documents with an emphasis on grammar, sentence structure, consistency, punctuation, and formatting to our BC style guidelines, creating a quality document.
  • Support specification development including maintenance of master specification lists, formatting, and tracking.
  • Coordinate design submittal reviews consistent with the requirements of the project quality plan. Maintain documentation of QA/QC reviews, setting up workflows and review sessions through Bluebeam Studio.
  • Coordinate production of digital and/or hardcopy design submittals for client review.
  • Manage action item lists, consolidated comment logs, decision logs, and other design-related lists/logs as needed.
  • Maintain internal and external project collaboration sites to ensure continuous communication and document management across the project team, including internal team members, the client, and subconsultants.
  • Provide construction administration support including tracking and distribution of contractor submittals, contractor requests for information and change orders.
  • Work closely with the PM to lead team coordination and communication. Build relationships with team members; proactively identify work assignments that need to be completed.
  • As needed, provide administrative support for the St. Paul office including building management coordination, office meeting/event organization, new hire onboarding support, and point of contact for deliveries.

Desired Skills and Experience:

  • Bachelor’s degree in Business Administration preferred
  • Minimum five years of experience in a professional office setting required; experience in project management/coordination in the A&E and construction industry strongly preferred.
  • Previous experience in the design/construction industry preferred.
  • Candidate must be highly proficient in Microsoft Word, Excel, Outlook, Sharepoint, Teams
  • Experience with e-Builder and ProjectWise and PowerPoint, Bluebeam, MS Project and Access skills are a plus
  • Candidate should be able to anticipate project needs and identify work assignments independently.
  • Candidate should be comfortable working directly with senior managers and technical staff.
  • Excellent communication skills (verbal and written) and ability to articulate concise problems and identify resolutions.
  • Successful candidate will be detail oriented, proactive, and self-motivated.
  • Ability to follow detailed procedures, multi-task, and prioritize required.
  • Ability to work both independently and in a team environment required.
  • Ability to work under multiple deadlines pressures required.
  • Valid driver’s license and good driving record required.
  • Notary Public in the State of Minnesota a plus
  • Familiarity with formatting documents and working in templates a plus, but not a requirement.
  • Candidate should be willing to work occasional over-time.

Salary Range: The anticipated starting pay range for this position is based on the employee’s primary work location and may be more or less depending upon skills, experience, and education. These ranges may be modified in the future.

Location A: $26.30 – $36.10
