Senior project manager

Job Summary:

The Administrative Transformation Program (ATP) within the Administrative Systems Portfolio is transforming the finance, human resources, and research administration support environment across the UW-System, while focusing on people, processes, and technology. This includes implementation of a new Enterprise Resources Planning (ERP) system (Workday) and supporting structures for document management and data warehousing. The Senior Project Manager will serve a vital role within the Administrative Transformation Program (ATP) in supporting UW-System campuses as they complete activities required for a successful July 2024 deployment.

The Senior Project Manager is responsible for coordinating activities of UW-System campus project teams to ensure campus readiness for the implementation and deployment of Workday in July 2024. This includes engaging campus
stakeholders, identifying appropriate resources needed, and maintaining schedules to ensure timely
completion of campus activities required for go-live.

The Senior Project Manager is responsible for assisting in assembling project teams, identifying key stakeholders, supporting stakeholder management, producing project artifacts, capturing, and managing project risks, action items, issues, and key decisions, and providing status reports.

Functionally responsive to campus project teams, the Senior Project Manager collaborates effectively
with ATP, Portfolio, and campus leaders to successfully prepare campuses for Workday go-live activities . Success in this role requires the incumbent to promote transparency, guide stakeholder engagement, collaborate effectively, and partner with campus readiness teams to ensure the campus and its end users are prepared for go-live.

Responsibilities:

Manages high-priority, large project(s) or multiple projects simultaneously from start to finish, impacting the institution at-large or multiple institutions.

  • 20% Creates a project plan, monitors progress and performance against the project plan, and identifies, resolves, or escalates risks and issues
  • 5% Manages the activities of outside contractors to ensure they are integrated into the project and that the organization receives satisfactory standards of service
  • 10% Facilitates the estimation of project costs, resources, and time required to complete the assigned phase of a project and monitors activities, negotiates for resources, and assigns tasks to ensure these targets are met. Follows established change control processes if targets can no longer be met
  • 10% Prepares regular reports to communicate the status of the project within and beyond the project team
  • 40% Sets priorities, allocates tasks, and collaborates with project staff to meet project targets and milestones
  • 15% Collaborates with campus, ATP, and portfolio teams to ensure campus project plans are inclusive of the activities required for a successful go-live

Qualifications:

Required:
1. Five (5) years of experience in formal project management frameworks demonstrating:
a. Knowledge of project management tools, processes, techniques, and best practices,
b. Ability to apply project management frameworks to meet project requirements,
c. Effective behaviors and interpersonal skills to successfully implement multiple, related
projects.
d. Strong planning, organization, and analytical skills.
2. Experience directly managing mid-size and/or multiple smaller, complex projects.
3. Strong problem solving and creative skills, along with the ability to exercise sound judgment in decision-making.
4. Experience leading cross-functional teams, building highly collaborative and effective working
relationships with a variety of stakeholders and resolving issues.
5. Excellent oral and written communication skills, including the ability to communicate sensitive
information effectively.
6. Demonstrated experience working effectively with senior leaders and ability to act as a partner
and trusted advisor.

Preferred:
1. Seven (7) or more years of formal project management experience and a strong track record on large-scale implementations within complex environments.
2. Project Management Professional (PMP) certification strongly preferred
3. Demonstrated ability to successfully lead organizational change.
4. Previous experience with formalized stage & gate processes.
5. Experience working in non-profit, government, higher-education, or other complex
management/governance environment.
6. Demonstrated success influencing without authority.

Work Type:

Full Time: 100%

It is anticipated this position will be remote and requires work be performed at an offsite, non-campus work location.

Appointment Type, Duration:

Terminal, 20 month appointment.
This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding

Salary:

Minimum $93,000 ANNUAL (12 months)
Depending on Qualifications

The anticipated duration of this position is through December 31, 2024. There is the possibility of extension beyond that date based on unit needs.
