Job Description

What we’re looking for:

New Hope Network is seeking an entry-level Show Coordinator for its health & nutrition digital and in-person events, specifically Natural Products Expo West and Expo East. The Show Coordinator will support and execute various parts of the events to help drive the efficiency and growth of the events. This position is best suited to a creative, self-motivated, and confident individual who has a strong ability to multitask, is happy to work individually and as part of a team, and who is willing to fully immerse themselves in the events community.

Job Responsibilities:

Participate in an engaged and empowered team

  • Collaborate on long and short-term goals for the group to support the company, department, and market vision
  • Manage structured and unstructured communication to ensure clarity around group goals, identification of opportunities and challenges and tracking against timelines, and show requirements
  • Provide opportunities for growth, empowerment, accountability, and cohesion of the team
  • Develop an understanding of the markets we serve and deliver events in line with these communities
  • Oversee and monitor workflow, adjust load as necessary and appropriately resource for scale

Manage operational expenses and revenues for optimal results

  • Gather competitive proposals
  • Negotiate with potential suppliers
  • Submit annual budget, monthly forecasts, and financial information on schedule and as needed
  • Control show expenses while maintaining the best possible presentation and service
  • Pay applicable vendors
  • Follow centralized accounting and department process

Work closely with Show Director to deliver consistently high performing products and services

  • Meet defined timelines
  • Always strive to “under promise and over deliver”
  • Increase opportunities for revenue and profit growth
  • Collaborate on the development of show policies

Develop relationships with venues/vendors that facilitate efficient, effective achievement of product and client objectives

  • Provide input for RFPs that addresses the unique needs of each event, i.e. costs, market need, program flow, etc
  • Communicate contract obligations and inclusions as appropriate to internal teams
  • Be a source for overall questions and clarification
  • Develop relationships that support effective communication and exceptional results
  • Evaluate vendor performance on an ongoing basis, proactively address opportunities
  • Work as an interface to ensure the show is professional, problems invisible to (most) internal and external customers

Specific Areas of Responsibility:

  • Execute client experience and offering in show feature areas
  • Execute fulfillment and manage client service for partner and exhibit hall participation opportunities, fulfillment of event marketing (client service on event marketing opportunities to be managed by exhibitor service representatives)
  • Create logistics & specifications documents
  • Set-up & maintain upload and promotional opportunities tools
  • Ensure proper client listings and execution of sales inclusions/specifications
  • Manage affiliate meeting requests
  • Manage meeting room inventory, assigning, and logistics
  • Produce opportunities according to requirements defined in partner documentation
  • Traffic logos, photos, descriptions, barters/Trades/Non-profits
  • Manage logistics for Barters/Trades/Non-profits
  • Provide requirements for programs and ensure fulfillment with appropriate budget and associated check requests
  • Create check requests for Non-profits/Partners/Barters

Qualifications

Qualifications & Experience:

  • Minimum of 2 years experience in marketing, Tradeshow events and sponsorship management.
  • Requires strong time and project coordination skills; ability to change course midstream is essential.
  • Bachelor’s degree in related field (preferably event planning, marketing, hospitality, and/or business).
    • This position is entry level and would be the perfect opportunity for a recent college graduate or anyone with a few years in the events industry.
  • Highly organized, detail oriented and able to execute demanding, simultaneous, multi-show deliverables in a mutable environment.
  • Requires strong communication skills, professionalism, positive attitude, and ability to work with clients, vendors, and internal team members.
  • Ability to work independently as well as part of a team while delivering accurate and on time results.
  • Travel to conferences and tradeshows is approximately 2-4 times per year.
    • Must be able to be on your feet for 12+ hours per day during shows.

The pay range for this position is $46,750 – 55,000 depending on experience.
