Why does the job exist?
The Social & Community Services Coordinator – Advanced will:
- Review, route, and track materials requiring Director and Deputy Director approval;
- Manage the Director’s calendar, while coordinating with external stakeholders, sister agencies, and other Divisions and Departments to schedule meetings and prepare required meeting materials;
- Coordinate with appropriate parties to address building related matters;
- Oversee and assist with travel requests for the Division;
- Provide high level administrative support to senior leadership and staff in the Division including coordination with other divisions, departments, the Human Services Department’s (HSD) Office of the Secretary, and external stakeholders; and
- Assist with special projects.
How does it get done?
The Social & Community Service Coordinator -Advanced is responsible for:
- Coordinating information that may require research and working with staff and managers throughout the division, agency, and other external stakeholders including federal and state agencies;
- Monitoring the routing of materials ensuring timelines are met;
- Implementing and refining processes as required to ensure the effective and efficient operations of the Division;
- Managing contracts as required, ensuring contracts are complete, scopes of work are adhered to, budget is managed, and invoices are processed timely utilizing SHARE financial;
- Directing and advising staff and managers throughout the Division.
Who are the customers?
- Human Services Department and Medical Assistance Division leadership, staff, managers, Medicaid recipients, providers, stakeholders, and the general public.
Ideal Candidate
The ideal candidate has:
- Experience working with Medicaid, the Human Services Department, and/or a large organization;
- Excellent communication skills with a high attention to detail, and adaptability to changing demands and priorities;
- Experience with Microsoft Office, especially using Outlook and managing calendars and schedules;
- Experience conducting research;
- Experience working in a fast-paced organization serving a large group of employees.
Minimum Qualification
Bachelor’s Degree in Social Work, Psychology, Guidance and Counseling, Education, Sociology, Criminal Justice, Criminology and/or Family Studies/Services and four (4) years of any combination of experience including working with communities, working on health or social service related matters, social work/case management experience, behavioral health and/or health care. Working Conditions
Work is performed in an office setting, exposure to Visual/Video Display terminal (VDT) and extensive personal computer and telephone usage with extended periods of sitting. Must be able to lift 25 lbs.
