Overview
The Special Events Assistant is responsible for assisting the Director of Events in overseeing all components of special events occurring at Xtream Arena. This includes special events and/or tour coordination, in-house and contractor staffing, financials, equipment rentals, and administrative work. This position also assists with reception and general office administration. This part-time, hourly position reports to the Director of Events.
This role will pay an hourly wage of $12.00 to $18.00.

Responsibilities
• Answer the arena’s main phone line to answer questions and share public event information.
• Respond to customer inquiries via email or phone.
• Conduct site visits with potential customers.
• Assist with the completion of pre-event estimates and post-event financial settlements.
• Assist in the preparation of building to meet the requirements of upcoming events.
• Assist with advising clients on services available from the facility and independent contractors for events.
• Function as a liaison between users of the facility and the facility staff.
• Supervise part-time team members during special events.
• Communicate clearly and concisely in the English language, both orally and in writing.
• Establish and maintain effective working relationships with clients, co-workers, part-time staff, guests/public, and municipal officials.
• Assist with office management, including but not limited to ordering supplies, sending & receiving mail, maintaining break area, etc.
• Work a flexible schedule, including late nights, early mornings, weekends & holidays as needed.
• Other duties and responsibilities as assigned.
Qualifications
• Strong oral and written communication skills.
• Strong computer skills in Microsoft Office applications, word processing, and Internet.
• Knowledge of operational characteristics of events.
• Knowledge of crowd management.
• Strong knowledge of customer service practices.
• Knowledge of principles of supervising employees.
• Demonstrated ability to read and understand client agreements.
• Knowledge of fire and public safety regulations.
• Knowledge of A/V equipment and electronic systems is preferred.
• Knowledge of food & beverage service practices is preferred.
• Familiarity with terminology used in entertainment/convention/public assembly settings.
• Experience with AutoCAD and VenueOps software is a plus.
