Summary
Under general supervision of the Special Events Supervisor, the Special Events Coordinator coordinates events and engagement programs to encourage play, build awareness, and create unique experiences for the community. Assists with logistics management, purchasing and rentals, staff and volunteer scheduling, event design, and coordinating required services with other divisions, departments, and organizations. Assists with efficient project management, administrative tasks, and providing customer service for participants.

Essential Job Functions & Other Important Duties

  • Creates, executes, and evaluates innovative park, recreation, arts, and cultural events to forward the mission and vision of Play Frisco.
  • Maintains project management plans and timelines for assigned festival and event duties.
  • Assists in managing the onsite event load-in, operations, and load-out by following event plans, resolving problems, and ensuring safety of guests, staff, and vendors.
  • Assists with selecting, contracting, coordinating, and monitoring professional-service and equipment-rental contractors.
  • Purchases event supplies, equipment, and promotional items and ensures proper storage, use, and care of inventory.
  • Assists participants, vendors, and assigned sponsors with registration and payments.
  • Collaborates with marketing team to identify and develop event marketing plans.
  • Edits special event webpages and monitors social media and newsletter communications to ensure information is accurate.
  • Creates and maintains registration forms, event manuals, calendars, and other administrative documents.
  • Schedules, trains, and directs event staff, park operations assistance, and volunteers assigned to events.
  • Adheres to procurement and risk management policies by seeking quotes from vendors, collecting and verifying required insurance certificates, obtaining proper permits and inspections, and ensuring timely payments.
  • Researches and evaluates trends and changes in the community to develop new events or modify existing programming based on department and division goals and community needs. Helps evaluate each event to ensure goals are met and what adjustments should be made.
  • Attends scheduled planning meetings and work sessions and represents Special Events and the Cultural Affairs Division at assigned committee meetings.
  • Assists in evaluating and implementing internal and external policies and procedures that enhance the efficiency and safety of events.
  • Completes local professional training and certification opportunities as assigned by Special Events Supervisor.

Other Important Duties:

  • May be required to work extended hours including early mornings, evenings, weekends, and holidays.
  • May assist in developing, planning, implementing, and working special events.
  • Travels to inspect facilities, oversee recreational programs and activities, and to attend meetings, conferences, and training.
  • Participates in the promotion of department’s facilities, programs, and services.
  • May need to provide CPR and First Aid and prepare incident reports.
  • Performs other related duties as assigned.
  • Regular and consistent attendance for the assigned work hours is essential.

Job Requirements
Education, Experience, and Certifications/Licenses:

  • Bachelor’s Degree in in Event Management, Recreation Studies or related field and two (2) years’ experience in the recreation field or equivalent combination of education and experience.
  • One (1) year supervisory or lead worker experience preferred.
  • Must possess current CPR and First Aid Certification within six months from date of employment and be able to perform CPR and/or first aid as needed.
  • Must pass a pre-employment drug screen, criminal background check, and MVR check.
  • Must possess a valid State of Texas Driver’s License.

Environmental Factors & Conditions/Physical Requirements

  • Work is performed in office and at special events in indoor and outdoor venues, parks, aquatic facilities, and stadiums.
  • May be subject to exposure to air and water borne pathogens, body fluids, and infectious diseases when applying CPR, First Aid or cleaning facilities.
