Job Summary
As a Sr. Executive Assistant for the Chief Legal Officer you will perform a wide variety of administrative and operational tasks which are diversified and often highly sensitive or confidential in nature. You will directly support and be a key strategic partner of the executive vice president and general counsel as well as support two vice presidents in the legal and compliance departments. This position requires an organized self-starter who can effectively support and represent these executives with integrity in this high paced legal and compliance environment. This position requires a proactive problem solver with the ability to work well under deadlines and who has strong time-management skills and meticulous attention to detail.
Job Responsibilities
- Strategic calendar management – Proactively manage personal and work priorities and availability including complex calendar of in person and virtual meetings and schedules including planning, scheduling, and effectively managing scheduling conflicts
- Work independently on assignments using judgment and initiative on sensitive and privileged materials and topics
- Organize and prepare legal reports including gathering updates from department lawyers on legal cases and liabilities
- Cultivate relationships with internal and external stakeholders and effectively interact with PSEG employees and executives, elected and appointed government officials and their staff as well as other key stakeholders as needed for scheduling, and escalation
- Research and gather the necessary information or background the leader needs for meetings and stakeholder conversations
- Research, coordinate, and create material and data for meetings, special projects and other functions, including assisting in the preparation of presentation materials, such as visual aids.
- Review data and compile reports as necessary
- Maintain electronic records ensuring information is organized and easily accessible
- Handle all travel arrangements including flights, hotels, ground transportation; obtain visas, passport renewals, or any other travel documents
- Attend meetings when needed to take notes and action follow up items
- Ensure department administrative tasks are managed and reported to leader, i.e.: training, time entry, leaves of absence, committee initiatives, volunteer events, etc.
- Resolve expenses and reconcile monthly corporate card transactions.
- Work overtime, nights, holidays and on weekends with short notice
- Travel and provide on location support as needed
- Assist and mentor other administrative assistants in department
Job Specific Qualifications
Required
- High school diploma or equivalent
- Experience as primary support in a fast-paced, high volume environment, supporting directors and above
- Excellent written and verbal communication skills
- Proficiency w/digital communication tools and video conferencing technology – able to maintain virtual and in person work spaces
- Ability to learn SAP or similar enterprise management system
- Experience with PC applications, such as Microsoft Office Suite (Word, Excel and PowerPoint) and other applications/systems – including web based systems
- Efficient problem solver and decision maker and remain calm under pressure
- Effective self-starter – able to prioritize and re-prioritize tasks as priorities change and handle multiple projects and tasks simultaneously
- Strong emotional intelligence, possess both IQ + EQ, self-awareness and situational awareness
- Demonstrate ability and willingness to continuously acquire new competencies and accept new challenges
- Possess a 24/7 mindset and does whatever it takes to get the job done

- Legal skills such as paralegal certificate, legal secretarial experience or similar
