The Health & Counseling Center (HCC) is a fully integrated, on-campus, accredited college health center that provides a wide range of medical and mental health services. The University of Denver is deeply committed to Inclusive Excellence and Equity and seeks a Sr. Healthcare Administrative Specialist – Health Informatics and Billing who possesses cultural humility and a strong understanding of systems of oppression and can integrate those perspective into all their work. This position works in the HCC Administration unit at the HCC.
The mission of the HCC is to enhance overall student well-being and success through inclusive physical and mental healthcare, prevention, education, advocacy, and recovery support services. Most shifts are from 8:00 am to 5:00 pm, with occasional shifts from 10:00 am to 7:00 pm. Physicians, nurses, psychologists, nurse practitioners, physician assistants, and other health professionals staff the HCC. All students enrolled for academic credit (full-time or part-time, undergraduate, or graduate) may use the HCC.

Position Summary
The Senior Healthcare Administrative provides a high standard of service excellence to internal and external customers; interacts with patients to resolve patient issues and questions; demonstrates a commitment to the financial success of the HCC; demonstrates a commitment to the HCC as a whole by adherence to policies and procedures. This individual demonstrates leadership to the other Healthcare Administrative Specialists, competence, and initiative by performing various functions, including compliance, reporting, information technology duties, and support. Is responsible for fee and billing and other administrative tasks.
Assists with creating, overseeing, and maintaining all data, records, and accounts necessary for care delivery, quality assessment, and improving and utilizing services for the Health and Counseling Center. Assists with maintenance and support of HCC software and IT operations. Manages or oversees import and export of data between multiple systems. Develops reporting and retrieves data on a routine and ad-hoc basis from practice software related to pandemic services, administered vaccinations, incomplete documentation, special population usage, and services. Demonstrates competence and initiative by performing a variety of functions, including the following: registering patients and scheduling patient visits efficiently and accurately; facilitating reception area activities; performing necessary computer tasks; scanning medical records accurately and promptly; recording charges accurately on patient’s accounts; collecting payments, as appropriate, and accurately recording the collection thereof, maintaining HCC provider (medical and mental health providers) schedules, a variety of billing responsibilities (correct coding, payment, and 3rd party billing revenue capture, accounts receivable, insurance advocate for the students, member of committees within the HCC, Student Affairs and Inclusive Excellence; facilitates appropriate resolution of student issues and complaints; performs routine clerical duties as assigned. Coordinates and supports educational outreach programs and liaises with private, public, and university agencies.
This position is a one-year appointment with possibility of extension based on funding and performance.
Essential Functions
**Interacts with patients, visitors, and HCC staff in a courteous manner and demonstrates a sincere initiative in meeting patient needs. Ensures confidentiality of patient and institutional material by FERPA and HIPAA regulations. Maintains positive behaviors and attitudes; demonstrates a commitment to interpersonal service towards patients, visitors, and co-workers. **
Health Information and Reporting Duties
- Assists with creating, overseeing, and maintaining all data, records, and accounts necessary for care delivery, quality assessment, and improving and utilizing services for the Health and Counseling Center.
- Works collaboratively with DU administrative and clinical staff. Generates population lists and sends standardized messages through banner to student populations for testing and resulting SHIP Enrollment, SHIP Expiration, Immunization compliance, and HCC balance notifications.
- Manages or oversees import and export of data between multiple systems, including CIIS, Banner, Point and Click, and Quest Diagnostics.
- Working collaboratively with the Assistant Director for Information and Systems, develops reporting and retrieves data on a routine and ad-hoc basis from practice software related to pandemic services, administered vaccinations, incomplete documentation, special population usage, and services.
- Supports HCC research by coordinating data collection and reports
Information Technology Support
- Assists with maintenance and support of HCC software and IT operations.
- Provides end-user desktop support for HCC staff with Director for Administration and Finance.
- Implements the various functions of the practice management software and assists in staff training in all practice software utilized.
- Provides end-user support for the practice management system and communication with program developers about system requirements.
- Maintaining compliance with HIPAA IT requirements and other regulations as other governing agencies require.
- Assures effective utilization, functionality, and upgrades to all hardware and software.
- Reviews the Health and Counseling Center equipment, recommends appropriate changes, and directs additions, deletions, repairs, and modifications.
*Patient Billing
- Demonstrates commitment to the financial success of the HCC
- Assures the accuracy of CPT and ICD-10 codes on patient visits according to the nature of the service rendered.
- Reviews unauthorized tickets, empty tickets, and unfiled primary tickets
- Notifies appropriate parties of any missing information.
- Maintains patient benefit updates
- Generates patient bills for services rendered and records all monetary collections
- Removes financial holds from student accounts
- Answers staff questions related to billing and collection.
- Provides information and instruction to patients about charges and billing options. Explains cost with HCF, SHIP, both or neither.
- Processes payments and the daily financial packet. Assures that the correct payment types and amounts are applied to the correct accounts
- Processes insurance claims through ledger billing
- Process UHCSR insurance checks and applies for payments in patient accounts.
- Coordinate any discrepancies with the Bursar’s office
- Tracks account receivable and aging of accounts and generate reminder notices accordingly.
- Reviews credit balances once a month
- Assists with resolving billing issues
- Adjusts fees (related to Training Room hours, EAP, and fee adjustments for patients/clients who are experiencing financial distress)
- Assists with assuring all insurance enrollments are correct
- Processes weekly Student Health Insurance Plan deposits and reconciles accounts
Patient Services
- Schedules patient appointments efficiently and accurately according to practice protocols.
- Prepares, updates, and maintains patient schedules, including confirming, rescheduling, and canceling patient appointments according to practice protocols.
- Maintaining medical and mental health provider schedules
- Instruct patients on how to enter their information online through the secure web portal.

- Coordinates patient flow and assures immediate priorities are satisfied such as registration, schedule changes, eligibility changes, and students presenting in crisis or medical urgency.
- Notifies the provider when a patient has canceled or rescheduled an appointment.
- Acts with a sense of urgency to ensure that information regarding mental health crisis and severe health situations are communicated to the clinician for speedy service.
- Helps improve patient understanding of the scheduling process and de-escalating agitated patients/parents regarding scheduling issues
- Facilitates appropriate resolution of patient issues and complaints
- Addressing all patient questions and concerns
- Interacts with patients in person, over the phone, or via email
- First point of contact for patients, clients, parents/guardians, providers, and insurance companies
Administrative
- Scans and updates patient’s electronic medical records, i.e., scan specialists referred visit notes, emergency room notes, prescription requests, etc., notifies referring provider or nurse for review.
- Review faxes.
- Properly dispose of scanned records post 30-days in file
- Answers the telephone promptly and courteously; routes callers; takes complete and accurate messages and relays the information to the appropriate person with accuracy, courtesy, and speed; provides routine information via phone, e-mail, and face-to-face.
- Answer emails from the HCC main email.
- Send reminder emails/text messages (appointments, psych vitals, questionnaire completion)
- Monitors patient needs in the reception area; maintains neat, clean, and safe work area.
- Performs clerical duties such as copying forms, mailing brochures, requests for records, letters, and other clerical duties upon request of the DAF and MBD.
- Assists in covering lunches and absences for the other administrative support team.
Insurance Duties
- Explain how patients can submit insurance claims for reimbursement
- Verifies student health fees and insurance coverage
- Addresses insurance inquiries from patients, staff, and parents/guardians
- Processes HCF and SHIP enrollments
- Assists patients with insurance questions and concerns
- Explains UHCSR insurance plan benefits to students and provides essential resources
- Coordinates enrollment of the insurance plan with the Bursar’s office
- Update and confirm eligibility status with UHCSR
- Enter students into the United Healthcare insurance database and notify them of their enrollment/benefits.
- Enter students into the Delta Dental insurance database and notify them of their enrollment/benefits.
- Enter referrals into UnitedHealthcare Student Resources
Knowledge, Skills, and Abilities
- Experience with computerized data collection, billing and account tracking systems.
- Working knowledge of Microsoft Suite Products
- Knowledge of basic office equipment (phone, fax, copier, credit card machine, etc.)
- Ability to demonstrate a commitment to the principles of diversity, equity and inclusion through involvement and participation in department and university/division-wide projects and initiatives.
Required Qualifications
- Associates Degree or 2-5 years customer service in a healthcare environment
- 2-5 year’s customer service related experience.
- Typing minimum 40 words/minute
- Computer data entry.
- Working knowledge of medical billing and coding.
Preferred Qualifications
- Bachelor’s Degree
- Experience in medical coding and terminology.
- Experience in Electronic Medical Record software.

Work Schedule

Salary Range:
The salary range for this position is $58,000.
