Description

The position of the Staff Aide for the Macdonald Carey program provides general clerical support to facility staff and back-up support for the front reception desk. ID#6654A

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide back-up support for Office Manager.
  • Logging and distribution of incoming mail to appropriate staff members.
  • Under the direction of the Macdonald Carey Office Manager, helping to coordinate all safety drills and activities within the facility.
  • Maintain forms drawer, bulletin board notices and pamphlets.
  • Responsible for maintaining supply cabinet and ordering supplies as needed.
  • Assist Office Manager in maintaining monthly calendar for meetings.
  • Responsible for setting up Physician’s offices at the beginning of each day. Maintain supply levels of all forms including prescription pads and appointment books.
  • Assure completion of incoming general office tasks in a timely manner.
  • Responsible for performing routine quality assurance of client records, such as the client log, client action log, client charts, etc.
  • Responsible for filing internal reports, logs, and client information in a timely manner.
  • Responsible for preparing new hire paperwork, office and phone set-up, issuing room and fob keys, updating fob log, changing staff sign-in sheet, creating mail sheet, and any related new hire status scheduling.
  • Assist in the daily client log input including financial payor forms, coordination of services plan, and the distribution of client log.
  • Responsible for reconciliation of medical records checks report monthly. Responsible for reconciliation of monthly Unilab reports.
  • Type correspondence, memos, forms, etc., as assigned by supervisor.
  • Photocopy materials as needed.
  • Provide back-up for front reception desk.
  • Responsible for the distribution of time sheets to staff. And the accuracy of those time sheets.
  • Participate in staff meetings may be responsible for taking minutes at quality assurance meetings.
  • Perform other duties as assigned by the Supervisor to ensure smooth operations within the facility.
  • Provide back-up support for financial screenings.
  • Maintain photocopy maintenance service.
  • Responsible for the ordering of office supplies, maintenance requests, update of monthly calendar for meetings.
  • Responsible for shutdown of all thermostats, turning off of lights, checking building to make sure staff vacancy, make sure all doors are closed and locked, shades are closed, office machines (such as copy machines and computers) are turned off.
  • Updating of office forms where staff area added or deleted, such as timesheet check-off list, staff rosters, weekly schedule, etc.

Qualifications

  • The ideal candidate must have a High school Diploma or equivalent. Two (2) years of college preferred.
  • Two (2) years of general office experience.
  • Type minimum of 45-50 wpm.
  • Bilingual English/Spanish preferred
