Job Summary
MAJOR FUNCTIONS: This is an administrative position which is responsible for providing general office support to a department, division or major County operation. Generally reports to a division manager or assigned staff. The operations involve a variety of office, administrative, fiscal and support functions.
Essential Job Functions

Knowledge:
- General knowledge of current office management principles and procedures.
Abilities:
- Provide information in an organized and understandable manner.
- Establish effective working relationships with external agencies, County staff and the general public.
- Understand procedures and regulatory requirements.
- Work with minimal supervision in an accurate and timely manner.
- Basic computer skills related to email and data entry.
Skills:
- Intermediate proficiency in MS Windows and Office software (Excel, Word, and PowerPoint). Communicate well, both verbally and in writing.
ESSENTIAL JOB FUNCTIONS:
- Prepare internal and external correspondence to ensure information is accurate, format is appropriate and content is grammatically and structurally correct.
- Assist with assigned advisory boards and committees and work groups, including preparation of agendas, scheduling meetings, meeting notices, preparation of minutes, tracking attendance and submission of required reports to Administration.
- Handle routine inquiries and requests from Commissioners, County staff and external customers, including providing requested information in an accurate and timely manner. Refer to division manager or appropriate staff if required.
- Provide administrative support to division manager and/or assigned staff, including but not limited to, scheduling appointments and meetings, drafting and/or finalizing correspondence, making travel arrangements, obtaining requested information or reports, tracking and following up on issues and projects.
- May assist in preparation and monitoring of budget or fiscal reports such as payroll, budget submission, grant reports, etc.
- Ensure all purchases are in compliance with County policies and procedures, including but not limited to, signing authority, purchasing card statements, purchase orders, contracts and work authorizations.
- May serve as the department, division or facility receptionist.
- Assist with agenda items in accordance with County policies and procedures.
- Assist coordinators and program staff as needed.
- Maintain and update inventory.
- Perform other related work as required, including administrative, fiscal or program support.
EMERGENCY MANAGEMENT RESPONSIBILITIES: During emergency conditions, all County employees are automatically considered emergency service workers. County employees are subject to being called to work in the event of a disaster, such as a hurricane, or other emergency situation and are expected to perform emergency service duties, as assigned.
ESSENTIAL PHYSICAL SKILLS: Constant walking, standing, use of both hands and fingers, and legs, occasional light lifting (30 lbs. or less). Frequent light carrying (30 lbs. or less) reaching above shoulders, kneeling, bending and squatting. Good hand/eye coordination and near and far vision. Good hearing. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

Qualifications
EDUCATION: Graduation from High School or possession of a state GED.
EXPERIENCE: At least one year of experience in an administrative or clerical position or related field. A comparable amount of training or experience may be substituted for the minimum qualifications.
LICENSE CERTIFICATION OR REGISTRATION: Valid Florida’sDriver’s License and must maintain a good driving record.

This position requires a physical, drug testing, and level 2 background screening which includes fingerprinting.
