The Administration for Children’s Services (ACS) protects and promotes the safety and well-being of New York City’s children and families by providing child welfare, juvenile justice, and early care services. In child welfare, ACS contracts with private nonprofit organizations to support and stabilize families at risk of a crisis through preventive services and provides foster care services for children not able to safely remain at home. Each year, the agency’s Division of Child Protection responds to more than 50,000 reports of suspected child abuse or neglect. In juvenile justice, ACS manages and funds services including detention and placement, intensive community-based alternatives for youth, and support services for families. ACS is also a key part of NYCs early childhood and education continuum, providing child care assistance to thousands of child welfare involved and low-income children so they can access safe, affordable, quality care.

The NYC Administration for Children’s Services is seeking an outstanding candidate to serve as Team Operations Associate for the Community Based Strategies (CBS) team in the Division of Prevention Services (DPS). DPS and its network of contracted providers deliver community-based services across NYC to improve safety, wellbeing, and permanency for thousands of families each year. CBS is seeking an exceptional candidate to serve as the Team Operations Associate.

The responsibilities of this role include, but is not limited to:
• Provide administrative support to the CBS Team. Our ideal candidate is a highly organized problem-solver with excellent communication skills who loves people, exudes warmth, and goes the extra mile to get things done.
• Actively engage in the development of a strong workplace culture characterized by warmth, creativity, teamwork, and responsiveness.
• Plan creative and fun workplace wellbeing activities, team-building events, and supports new staff onboarding by serving as an ambassador of the CBS workplace culture.
• Cover meetings for the office as assigned and writes/distributes high quality meeting summaries promptly following meetings.
• Create and maintains the CBS Associate and Assistant Commissioner’s resource materials, calendar/schedule, supplies, and meeting materials.
• Collect and tracks data as needed for projects – enters, tracks, and presents data using electronic systems.
• Perform special projects and tasks including, creating and administering staff well-being surveys, tracking and managing project assignments and staff workload, planning and executing big events, in-person or virtually, with many stakeholders.
• Monitor office’s inventory of supplies, orders office supplies and coordinates small purchases including procurement processes (invoice payments) and reimbursements.
• Assist in interviewing and recruiting new staff, including maintaining the team’s recruiting and hiring resource guide for contracted prevention providers.
• Arrange recruitment forums as needed to assist with provider staffing needs.
• Maintain and develop relationships with a network of local social work schools

Minimum Qual Requirements

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one year of experience as described in “1” above.

Preferred Skills
• Candidates with experience as Executive Assistants or Office Manager are encouraged to apply.
• Must have excellent written and verbal communication skills and produce high quality typewritten documents free of errors in an efficient manner.

Experience with and comfortable using the following computer programs: Microsoft Office Suite (Word, Outlook, Excel, Teams, Power Point, Publisher, Visio, IE); Adobe Acrobat; Google Workspace (Docs, Sheets, Forms, Chrome); Survey Monkey (or other survey program), Airtable
