Job Description

Position Summary:

As a member of the Travel and Logistics department, the Travel and Event Coordinator is responsible for implementing international travel and events related activities, with a particular focus on the coordination of in-person business events, workshops and trainings, ensuring compliance with US Federal travel regulations and internal processes. This person will also be responsible for booking domestic and international flights, ground transportation, hotel rooms, meeting and conference space, Audio Visual equipment, catering, and additional services as required.

The ideal candidate will be independent, highly efficient, extremely organized, have knowledge and experience with international flights bookings, corporate event management, US Federal travel regulations, international travel experience and is willing and able to travel internationally.

Major Responsibilities

  • Plans and executes the logistics of events, workshops, and training from start to finish
  • Books international and domestic flights with a focus on international flights
  • Implements Study Tours with international travelers visiting the US for Multi-stop study tour
  • Implements travel arrangements (including but not limited to airfare, lodging, meals and incidentals, ground transportation and visas) and logistics (including, but not limited, to venue, catering, coordinating interpretation of foreign language) of CRDF Global funded projects
  • Interacts with clients (internal and external) to ensure full customer satisfaction
  • Manages project level budgets and ensures arrangements are within budget
  • Initiates, approves, and executes payments to vendors and travelers
  • Maintains and reconciles company issued credit cards
  • Ensures compliance with US government regulations, funder requirements, internal policies and procedures and follows best practices
  • Travel to events to oversee, troubleshoot and ensure successful implementation of events, trainings and workshops.

QUALIFICATIONS

  • Minimum of three years of relevant work experience in arranging international and domestic travel
  • Experience with meetings and conference planning
  • Experience with Concur Travel & Expense
  • Minimum of one-year work experience in an international organization
  • International travel experience and willingness and availability to travel internationally
  • Willingness to travel domestically and internationally
  • High School diploma required; Bachelor’s Degree (preferred)
  • Strong customer service expertise and focus
  • Understanding of US federal travel regulations (Fly America/Open Skies)
  • Strong computer skills
  • Experience creating and managing budgets
  • Strong experience with online communication hosting platforms such as Zoom, Webex, etc.
  • Demonstrated ability to build and maintain effective working relationships across functions, organizations, and suppliers
  • Experience working in a fast-paced environment with competing priorities
  • Foreign language proficiency – Spanish, Portuguese (preferred)
  • Proficiency with Microsoft Office (Word, Excel, Project)
  • Authorized to work in the United States

Salary & Benefits: The base pay range for this position is $53,760 to $65,000. The determination of salaries in this job classification depend on a number of factors, including, but not limited to, relevant candidate experience, job-related knowledge, qualifications and skills.
