Virginia Management Fellows Program Coordinator

The role of Virginia Management Fellows (VMF) Program Coordinator is a full-time restricted university staff position at Virginia Tech. This position will report directly to the VMF Project Manager. In this role, you will provide administrative leadership and support office management in a dynamic academic environment. Your responsibilities will encompass operational support for the VMF program in the School of Public and International Affairs (SPIA) in the College of Liberal Arts and Human Sciences (CLAHS) at Virginia Tech. The VMF program is looking for a collaborative and dedicated colleague who can contribute to our diverse and inclusive learning community. The position is based at the SPIA Richmond location, working closely with faculty, staff, students, and state agency partners.

Key responsibilities include:
• Planning, preparing, and marketing VMF program training and events.
• Managing training materials, including editing, posting, and printing.
• Assisting with fellow and volunteer recruitment and onboarding.
• Supporting data collection and entry, along with survey instrument development.
• Providing technical support for virtual and in-person conferences.
• Taking meeting notes and maintaining the VMF website and social media.
• Handling supplies, calendar management, and meeting reminders.
• Coordinating food/beverage service and event photography.
• Setting up room designs for VMF programs.
• Assisting with alumni outreach and professional development.
• Communicating with university and agency partners, vendors, and community contacts to support VMF events and projects.

Required Qualifications
• Bachelor’s degree in related field or equivalent level of training and/or experience.
• Leadership and management experience in a professional setting.
• Significant professional office management experience with skills including visitor reception, records management, and administrative support.
• Demonstrated ability to prioritize and manage multiple tasks concurrently with excellent organizational skills.
• Experience in directly supporting complex projects and events.
• Demonstrated proficiency with computer applications such as Microsoft Office, Google Docs, and Canvas (or similar learning management system).
• Ability to produce error-free correspondence and documents.
• Willingness to work some early mornings and evenings for coverage of campus events.

Preferred Qualifications
• Knowledge of best practices for social media platforms such as Facebook, Twitter, Instagram, and LinkedIn.
• Prior service in state or local government, research, nonprofit, or in a higher education setting.
