Job Summary and Essential Functions
This position oversees all aspects of the Animal Center’s foster and volunteer programs, under direction of the Animal Center Manager. Additionally, this position typically performs basic administrative tasks, places animals in adoptive homes; and deals courteously and effectively with fellow employees and citizens.
ESSENTIAL JOB FUNCTIONS:
- Develops and updates volunteer and foster programs, including manuals, policies, and trainings.
- Recruits, interviews, and evaluates program volunteers and fosters.
- Manages and conducts volunteer and foster orientation, scheduling, supervision, and training.
- Assists in overseeing the Center’s adoption program; completes adoptions and trains volunteers in all positions, including volunteer adoption counselors
- Maintains inventory of foster and volunteer program supplies.
- Coordinate the movement of animals in and out of foster; work alongside other shelter staff to coordinate foster animals at events and adoption and transfers of animals from foster
- Coordinate medical and behavioral care for animals in foster
- Under clinic supervision, give basic vaccinations and preventatives to foster pets during appointments
- Develop and maintain a system to gather objective information about animal interactions from fosters and volunteers
- Addresses any volunteer and foster concerns.
- Promotes conflict resolution procedures.
- Operates a computer and other office equipment.
- Handles animals of all sizes and temperaments. Cleans shelter and animals.
- Check Fosters/Volunteers in and out, ensuring that all necessary paperwork is completed and given to them.
- Collect fees from customers.
- Assists answering customer service requests and FOIA requests.
- Maintain accurate program records using the shelter’s database.
- Actively promote spay and neuter, and educate clients on responsible animal ownership.
- Actively support associate staff and volunteers, and promote the development of skills related to the advancement of our goals and mission.
- Represent the Animal Shelter in a professional and courteous manner at all times.
- Answer telephone, voicemail and email correspondence relating to the volunteer and foster programs with no more than a 24-hour turnaround time.
- Provide quality service to clients, volunteers, and staff recognizing their individual contributions to the success of our organization.
- Participate on committees and special projects as assigned.
- Prepare files and other items for records retention in a timely manner.
- Performs administrative duties including basic typing, scanning, creating files, filing, answering telephones, taking messages, copying, computer operation, data entry and review.
- Updates supervisor of critical issues/events.
- Performs other duties as assigned.
Minimum Requirements to Perform Work
- High School diploma or equivalent;
- One (1) year of related experience including customer service;
Special Requirements:
- Must have and maintain a valid driver’s license for South Carolina with safe driving record;
- Data Entry/Basic Skills score of 68 is required for this position;
- Word score of 40 and Excel score of 35 required for this position;
- Experience in a volunteer or animal welfare setting;
- Departmental testing may be administered during interview;
- A criminal background check will be completed on selected applicant if a current one (less than 3 years old) is not on file;
Knowledge, Skills and Abilities:
- Knowledge of personal computers, including Word and Excel.
- Skill in clerical tasks including filing, customer service, math, data entry and correct grammar usage.
- Possess excellent written and communication skills
- Ability to learn to use shelter-specific computer programs, including PetPoint.
- Skill in the use of general office equipment.
- Ability to accept payments.
- Ability to manage inventory and property.
- Skill in being self-guided individual requiring minimal supervision.
- Ability to display comfort in working with all animals.
- Ability to be flexible with schedule changes and short notice overtime requests.

Physical Demands
This position requires the employee to reach, pull and push with hands and arms; stand; use hands to handle, feel, finger, grasp or operate objects, tools or controls; sit; climb or balance; stoop, kneel, crouch or crawl; use mental acuity and repetitive motion; and walk, talk and hear. The employee must frequently lift and/or move up to ninety (90) pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
Work Conditions
The work is regularly performed in a relatively safe, secure and stable work environment. Thirty-seven and one half (37.5) hours per week. Employees who work at the Animal Shelter are required to work a rotating work schedule. Must be flexible to work anytime during normal working hours Monday through Friday from 8:00am until 6:00pm; Saturday and Sunday from 9:00am to 5:00pm. Scheduled hours/days, job location, duties and any other information contained herein is subject to change. May be required to work extra hours and to perform extra or different duties during emergency situations.
