The story of our organization begins in 1993, when Texas created a workforce development system that made significant efforts to improve service delivery through local control and coordination of services from different programs. On May 23, 1996, Governor George W. Bush certified the North Central Texas Workforce Development Area (WDA) and on July 25, 1996, the Chief Elected Officials of the 14-county WDA signed a partnership agreement forming the North Central Texas Workforce Development Board and selected the North Central Texas Council of Governments as its fiscal agent, grant recipient and administrative agent. Our WDA includes Collin, Denton, Ellis, Erath, Hood, Hunt, Johnson, Kaufman, Navarro, Palo Pinto, Parker, Rockwall, Somervell and Wise counties.

How you will make an impact – Description of the Opportunity:

You will provide complex administrative and clerical support to a respective department and senior management staff. This is accomplished by providing customer service to the agency membership, the public and staff; processing information; directing committee, public, and staff meeting activities; coordinating travel arrangements; overseeing departmental records management services; coordinating special events; participating in the department’s program development and implementation; and managing a specific administrative program(s) or project(s). Other duties may include coordinating

tasks and serving as a departmental representative.

Responsibilities may include, but are not limited to, the following:

  • Answering multi-line phone system, fielding questions, distributing messages, and directing requests to the appropriate staff
  • Providing customer service to the agency’s membership, public, and staff
  • Copying, faxing, scanning, assembling, and distributing documents
  • Supporting committee and/or staff meetings by maintaining membership and contact information; drafting and reviewing agendas; maintaining attendance records; coordinating meeting schedules and mail outs; reserving meeting facilities, audio/video equipment, and refreshments as appropriate; conducting meeting setup/cleanup; documenting meeting proceedings; and following up meeting actions
  • Maintaining databases
  • Creating, formatting, reviewing and posting items on the Agency Intranet and Internet
  • Coordinating travel arrangements, including adhering to established regulations, reserving airline flights and hotel accommodations, obtaining appropriate travel approvals, and processing expenditure reimbursement
  • Maintaining calendars, scheduling meetings, assisting in the coordination of special events, and resolving scheduling conflicts
  • Composing, reviewing, and formatting correspondence, presentations, agenda items, documents, and reports
  • Adhering to records management guidelines
  • Communicating with elected officials, committee members, varying levels of staff from management to entry-level, and the general public
  • Serving as a representative of the department and Agency and attending meetings as needed

Desired Skills:

  • Ability to operate a variety of office equipment
  • Strong communication and organizational skills
  • Proficient in operating Windows-based computer programs such as Word, Outlook, PowerPoint, and Excel
  • Working knowledge of Microsoft Access, Teams and Smartsheet a plus
  • Detail oriented and ability to multi-task, while maintaining a high level of quality control
  • Ability to work independently and in a team environment
  • Excellent interpersonal skills
  • Flexible and adaptable to meet various needs

Required Education & Experience:

  • A Bachelor’s degree or 7 years equivalent experience in lieu of a degree
  • Minimum of 1 years of experience in direct field of assistant type support to senior leaders.

Compensation:

  • FLSA: Exempt
  • Starting Salary: $48,481.00- $ 60,601.25 depending on skills, qualifications and experience.

Officing:

  • This position offers a hybrid work option.

NCTCOG contributes twelve percent (12%) of permanent full-time employees’ gross salaries. Participating employees contribute six percent (6%) of gross salary. An employee becomes forty percent (40%) vested in NCTCOG’s contributions after three full years of employment. An additional fifteen percent {15%) is vested for each additional year of employment. An employee becomes fully vested after seven years of employment.
