Youth Protection Specialist

Job Summary:
The Office of Youth Protection (OYP) serves schools, colleges, and divisions throughout UW-Madison and provides campus-wide leadership, coordination, and oversight of the university’s youth protection efforts. The campus offers over 150 different youth programs and activities serving over 35,000 youth on-site each year; robust programming through the Division of Extension serves an additional 25,000 Wisconsin 4-H members and youth throughout the state.

The Youth Protection Specialist reports to the Youth Protection Manager and will be responsible for tracking registration of all UW-Madison youth activities, following-up with activities that are out of compliance, and providing data for reports. The position will engage in intake meetings as assigned, providing clear guidance on how to fulfill compliance requirements. In support of effective youth protection practices at UW-Madison, the Youth Protection Specialist will also contribute to special projects.

Responsibilities:

Data Monitoring
– Use OYP tracking systems to monitor youth activity data in alignment with UW-Madison policy.
– Review data periodically and conduct targeted outreach to authorized custodians, including those with lapsed registrations, missing training records, or a history of non-compliance.
– Assist with development of compliance reports; retrieve data for report requests, including systemwide audits and annual reports.
– Create reporting instruments, including compliance dashboards for each youth activity type.
– Respond to questions about use of registration and data collection systems from youth activity staff.
– Collect records of third-party youth activities from campus partners.
– Collaborate with relevant campus administrative stakeholders.
Consultation and Communication
– Serve as a resource and point of contact for youth activity staff for questions regarding compliance with youth activity policies and practices.
– Conduct intake sessions as assigned and provide consultation relating to compliance with UW-Madison policy and campus licenses, as well as best practices in youth protection.
– Participate in site visits for youth activities in Madison and potentially sites outside of Dane County.
– Contribute to monthly meetings with campus stakeholders in youth protection issues.
– Develop communication templates and other messaging.
Special Projects
– Support implementation of UW-Madison’s youth protection framework through participation in development of training, procedures, and guidance.
– Benchmark youth protection practices in other Big 10 schools and comparable universities.
Administrative Support
– Assist in organizing logistics for hosting OYP events, meetings, and workshops.
– Monitor email service account and triage inquiries.
– Assist with website content management and office communications.
Other Duties as Assigned
– Serve on internal (UW-Madison) or external (state, regional, national) committees or work groups.

Responsibilities: Compiles and classifies reports in support of a specific compliance program, assists leadership in regulatory report creation, coordinates notification issuance, and assists with the development and implementation of institution-wide policies to ensure compliance with institutional policies and/or laws and regulations.

  • 45% Assists leadership with developing and publishing compliance reports in accordance with established laws and regulations
  • 30% Audits and serves as a subject matter expert and point of contact for potentially affected units and affiliated organizations, ensuring appropriate notices are issued relating to compliance
  • 5% Collaborates with other institutional compliance subject matter experts to review procedures and make change recommendations to leadership
  • 10% Contributes to special projects to support implementation of UW-Madison?s youth protection framework
  • 10% Provides administrative support (e.g., monitoring email service account, organizing meeting logistics, assistance with website)

Education:
Required
Associate’s Degree or minimum of four years of professional experience

Preferred
Bachelor’s Degree
Qualifications:
Required:
– Minimum of one year of professional experience with projects or activities requiring strong attention to detail, such as keeping records or using databases
– Minimum of one year of professional experience managing multiple projects simultaneously
– Experience using Microsoft Office Suite programs including Word, Outlook, Excel, and PowerPoint
– Demonstrated ability to work both independently and collaboratively

Preferred:
– Experience working in youth program management, higher education administration, student life, compliance, member services, nonprofit management, or similar field
– Demonstrated ability to use discretion and good judgment regarding confidential or other sensitive information
– Minimum of one year of experience interpreting policy and communicating requirements to others
